Applications are invited from enthusiastic, suitably qualified individuals to provide a daily secretarial support service within the Histopathology department of the Laboratory Medicine Directorate.

The post holder will provide a range of administrative and secretarial support in this busy and interesting department.


Histopathology is part of the Laboratory Medicine Directorate and is based at the Royal Hallamshire Hospital (RHH), with additional locations at the Northern General Hospital (NGH) and Chesterfield Royal Hospital (CRH).

It provides an analytical diagnostic service to inpatients, outpatients and General Practitioners, and offers specialist testing to other hospitals.

Specimens include biopsies, surgical resections, diagnostic cytology and post mortem examinations.

Provide an efficient and effective secretarial support service within the Histopathology secretariat.

Provide an efficient and effective secretarial service to the Histopathology laboratory and Consultant Histopathologists.

Assist with and carry out Multidisciplinary Team (MDT) preparation.

Carry out routine administrative and secretarial duties for the department, ensuring standards are maintained and deadlines are met.

Be a first point of contact for all direct enquiries (including telephone enquiries), ensure these are acted upon appropriately.

The aim of the Network is to deliver a Pathology Service that provides all SYB patients and clinicians with equitable access to high-quality, innovative laboratory medicine solutions that will ensure the best clinical outcomes for patients.

A collaborative Network will also provide rewarding job and career opportunities for all staff.

An Outline Business Case, which described the Target Operating Model for the future Network, has been agreed between Partner Trusts.

The proposed Target Operating Model will ultimately lead to the consolidation of services across SYB. As work progresses to establish the Network, staff will be consulted about proposals that may involve them.

MAIN DUTIES AND RESPONSIBILITIES
In accordance with Departmental, Directorate and Trust Standard Operating Procedures:

  • Provide Secretarial Support to the Consultant Histopathologists including:

Provision of a flexible secretarial support service across the department as required by workload demands and agree priorities in liaison with the Office Supervisor and other senior Secretaries.

Provision of secretarial support/cover for other senior secretaries at periods of high demand, or to cover leave/sickness.


Transcription of complex and sensitive histology reports from handwritten notes and audio as prepared by Consultant Histopathologists, and other Medical Staff.

Assistance with the preparation of Multidisciplinary Team meetings (MDTs). This will include co-ordination and correlation of documentation to meet pre-determined timescales.

To ensure that all hard copy reports are correctly distributed to the relevant Pathologist Teams within the required timescales.


Provide Clerical/Administrative Support to the Secretariat:

  • To provide support/cover for the Clerical Officers at periods of high demand, or to cover leave/sickness.
To receive visitors into the Department.

To undertake the collection, sorting and delivery of post. This may involve transfer of post to and from the central Post Room.

To undertake printing, sorting and distribution of reports to respective secretaries within the secretariat.

To file, archive and store histology request forms and reports both electronically and manually.

General

To follow agreed protocols and policies seeking advice where appropriate.

To work in an efficient, effective and timely manner and be adaptable to change.

To work in a safe manner in accordance with departmental and Trust Health & Safety Policies.

To contribute to the care, maintenance, security and tidiness of the Laboratory Premises and equipment.

To demonstrate a positive attitude to the work of the Laboratory, members of the Laboratory team and service users.
