Fundraising Administration Assistant - Dyce, United Kingdom - Scotlands Charity Air Ambulance

SCAA is looking for a motivated, focussed and committed individual to support a high performing fundraising team. This role will be based in offices at Aberdeen airport where the SCAA emergency response helicopter is located.As well as working with the fundraising and communications team you will be working alongside the SCAA pilots and paramedics.
The post holder will provide administration and fundraising support to the Community Fundraising team and be a first point of contact for our community supporters.
You'll be responsible for responding to enquiries, fulfilling requests for fundraising materials, ensuring systems are up to date, and providing an excellent experience for our community supporters.
SCAA supports flexible working and there is the opportunity to work flexibly within this role according to commitments of the successful individual.
This is a hugely varied role and, on occasion, there will be a need to attend fundraising events and cheque presentations as required, working with our volunteers and key supporters.

This new position will play a key support role in achieving this whilst working alongside our community team.POSITION IN ORGANISATION
- Reports directly to Community Fundraising Manager
- Part of the Fundraising and Communications Team
- No direct staff line management but will work closely with volunteers and the charity team.
KEY AREAS
- To coordinate administrative processes for the Community Fundraising team, including data entry and fulfilling fundraising material requests.
- Maintaining the fundraising database, Donorflex, to ensure all supporter information is accurate and up to date.
- Manage the fundraising inbox, dealing with basic enquiries or passing to the appropriate fundraiser.
- Provide excellent supporter service to members of the public who enquire via phone, mail and in person, and encourage their support.
- Work with and supporting the general charity administration team to ensure systems and processes run efficiently, and update these where necessary.
- Oversee and record stock levels of fundraising materials and organise replacements when required.
- Attend fundraising events and cheque presentations as required, this may involve working evenings and weekends.
- Research and identify potential new community supporters.
- Assist with banking of cheques and cash.
- Provide guidance and support to office volunteers.

- To undertake any additional and appropriate functions as required.
Any additional duties will normally be to cover unforeseen circumstances or changes in work and will usually be compatible with the regular type of work.
If an additional task or responsibility becomes a regular or frequent part of the job, it will be included in the job description in consultation with the post holder.
ESSENTIAL SKILLS/EXPERIENCE
- Excellent organisational skills and attention to detail
- Excellent written and verbal communication skills
- Selfmotivated with a solution focused outlook and cando attitude
- Computer literate and competent with Microsoft packages
- Experience in a customer service role or working/volunteering for a charity
- Flexibility & willingness to work within a small, dedicated team
- Ability to problem solve and multitask.
DESIRABLE SKILLS/EXPERIENCE
- Experience of using a database or CRM system
- Knowledge of charity and data protection laws
- Knowledge of the Fundraising Code of Practice.
OTHER
- This role requires some evening and weekend work for which time off in lieu will be given
- Valid full UK driving licence and access to own transportation.
