Hours of work: 25 hours a week, salaried, with option for additional hours via ad hoc timesheets. Mostly weekday daytime, as well as some evenings and weekends.

This role is partly a job share with the other Administrators and includes some event stewarding.

Alternative work patterns and responsibility allocations will be considered across the administrative function.


Term: 2 year fixed term (aligned to funding secured)


Rate of pay:
£20,130 pa FTE, Scale point 10


Holiday allowance: 20 days per year, plus bank holidays (pro rata)

PURPOSE:


The Administrator is part of a small team of Administrators, providing administrative support across all functions, specifically focussing on the delivery of the Emerging Artists Scheme (funded by the Haworth Trust) and supporting delivery of our series of free weekday Lunchtime Concerts in the Carole Nash Hall as an event steward and Door Supervisor (SIA training will be provided).


The role also offers a blend of generalist administration support for the Stoller Hall team, covering for other roles in the team and supporting colleagues as required.


The post holder will ensure the office and the Emerging Artist Scheme runs smoothly, staff are available as needed, and will undertake their duties with reliability, accuracy and a meticulous eye for detail.

The role can expect a weekly division of duties to be along the lines of:

  • 40% Emerging Artist Scheme
  • 40% Events delivery, primarily weekday lunchtime concerts
  • 20% Other administration to support events delivery

KEY RESPONSIBILITIES:

Emerging Artist Scheme Coordination

  • Coordinating the new intake of Emerging Artists (annually) supporting the design and promotion of the scheme, incorporating lessons learnt from previous years
  • Supporting scheme delivery coordinating allparties zooms, managing teams information share channels, supporting the evaluation process (surveys etc), customising support plans, scheduling support sessions, consolidating and sharing relevant networking and news stories
  • Supporting the network of current and past emerging artists with communication channels, being responsive to identifying support needs that we can fulfil
  • Communicating with the artists about their performances in The Stoller Hall, working closely with the Marketing Manager and Production Coordinator to ensure smooth delivery, including receptions
  • Coordinating the 3x a year refresh of the atrium gallery wall administrating changeovers, liaising with artists, collating information about exhibitions, planning exhibition launches
  • Monitor invoicing and budgets for the scheme (including emerging artist fees)
Lunchtime Concerts

  • Support the School's series of public lunchtime concerts each concert requiring a team of 2 stewards (including 1 trained door supervisor) currently Tues, Wed and Thurs during term time. The post holder will be trained by Chetham's as a door supervisor (SIA training)

General Administration:

  • Support all general administrative functions in the team, including chaperoning of visitors, updating systems, maintaining schedules, managing short date stock, documenting meetings and actions
  • Some support to the HR processes under the guidance of the other administrators and the HR Manager

Event Delivery:

  • Provision of box office phone and counter service, alongside the team of casual event staff, led by the Box Office Coordinator
  • Working as part of the front of house team to deliver events under the Duty Manager's supervision

GENERAL RESPONSIBILITIES

The Administrator will:

  • Work in a collegiate and supportive fashion and seek to maintain the close team working environment
  • Input into the overall curation of the artistic programme, engaging in discussion and evaluative feedback on the artistic programme
  • Uphold and champion Chetham's twin priorities of Environmental Sustainability and Equality, Diversity and Inclusivity principles
  • Offer proactive contributions towards audience development and marketing ideas/ processes
  • Promote Chetham's in a positive and professional manner at all times
  • Display a flexible "can do" approach which will enhance Chetham's wider reputation
  • Operate in accordance with Chetham's policies and procedures including, in particular, Chetham's Child Protection and Safeguarding Children Policy Statements (see separate document)
