We are currently recruiting for a proactive Booking Assistant, to join us as the first point of contact for services users to ensure that they are able to access appropriate services and treatment efficiently and promptly.

This role is fixed term until June 2023, with the potential to be extended for a further year and will be based from home


The postholder will undertake a varied role and will work as part of an administrative and secretarial team that is integrated into a wider IAPT service, working in close partnership with other health care professionals, partner agencies, service commissioners and internal clinical/mental health teams to ensure that service users receive prompt advice and treatment.

As part of this role, you will support the wider team with data entry and statistical reports, as well as the arranging of appointments, coordination of referrals and telephone answering to provide an efficient information service to service users.

You will be a confident and efficient administrator, with experience of working within a busy office environment.

With multiple tasks ongoing, it is important that you are able to work as part of the wider multi disciplinary team, building meaningful relationships with internal and external stakeholders.

We're looking for someone with a can-do attitude, motivating and driving the team each day to provide excellent customer service.

As such, you must have exceptional communication skills and the ability to work quickly and effectively on your own initiative.

Working knowledge of the charity/substance misuse sector would be beneficial, but we are open to conversations with all suitably experienced applicants.

Above all, we are looking for someone who is passionate about what we do, with a positive and engaging approach to our service users.

REQUIRED SKILLS:


  • Maths & English GCSE Grade C or above or equivalent qualification
  • A successful track record of providing efficient and reliable customer service
  • Demonstrable experience of working in an office environment
  • Ability to work as part of a multidisciplinary team
  • Ability to build effective relationships with a range of internal and external stakeholders
  • Good customer service skills
  • Organised; excellent planning and time management skills
  • Ability to manage competing/conflicting demands, under own initiative managing own workload
  • Good analytical skills, eye for detail, methodical with 'can do' approach
  • Resilient; ability to prioritise and work under pressure
  • Good communication skills (written and oral)
  • Excellent IT skills, including Google Suite and digital media
  • Ability to collate data, to use and manage databases (e.g. Excel, Halo)
  • Knowledge and understanding of work based Health and Safety issues
  • Able to meet We Are With You's safeguarding requirements of a satisfactory enhanced DBS/PVG certificate
  • Able to visit other locations from time to time in order to deliver the services required
  • Ability to work flexible and unsocial hours as required
  • Commitment to the organisation's Guiding Principles and Behaviours

DESIRABLE SKILLS:


  • Administrative/ IT qualification
  • Experience of working for a voluntary organisation
  • Knowledge of service user group
