The Role
The Education Supplies division of Commercial Services, trading as KCS, with an annual turnover of £25M, is the biggest supplier of education resources to schools in the south east and has embarked on further territorial expansion as part of its growth plans for the future


The purpose of the role is to work closely with category suppliers both on contract and off (including managing OJEU tenders and general contracts) ensuring that we offer the best quality products at the best price improving our GP margins, whilst optimising product availability.

Sourcing new products and reviewing existing lines to ensure competitive advantage by fully understanding customer needs and providing a commercially viable range.

Meeting with suppliers to ensure optimum performance.


The role has a wider scope to include supporting supplier negotiations in relation to advertising revenues, rebate payments for volumes of their product that we sell, promotional offers to launch new ranges and for other paid-opportunities from the Supply-chain.

Furthermore, working closely with suppliers to enable them to utilise the KCS public sector compliant frameworks that allows them to trade directly with public sector organisations


Key Duties
Commercials

  • Responsible for all commercial negotiations:
  • pricing, MOQ's, Lead Times, Rebates, Catalogue Contributions and Payment terms
  • Targeted to drive, manage and deliver the supplier commercial agreements optimising profitability
  • Understand the key factors that impact on the 'cost' of product and develop opportunities to gain more effective pricing
  • Support the Strategic accounts and Sales teams in outward facing 'bidding' activities. Including quote requirements from suppliers, negotiating bestprice, gaining samples and providing data (images, specifications, safety information, recommendations)
Frameworks

  • Be responsible and own all aspects of the annual frameworks within your portfolio including rebate / catalogue contribution revenue.
  • Identification and assessment of new product / ranges that need to be purchased through a framework.
  • Produce all relevant documents associated with publishing an Invitation to tender (ITT)
  • Responsible for tender evaluation and awarding in line with CSG's documented process and procedures.
  • Create and report on a set of KPI's related to contract performance to include:
  • Revenue, Margin and stock availability, non-compliance.
Supplier Management

  • Using a supplier categorisation matrix, define and manage supplier relationships to deliver strong performance in cost, service and quality.
  • Plan, organise and attend Supplier Review meetings to ensure each supplier is engagedwith, service levels ( OTIF) discussed, contract compliance and feedback provided.
  • Understand supplier capabilities to help with future propositioning.
  • Maintain and develop relationships with all suppliers to ensure KCS is the preferred choice of its customers and to build strong support networks within our supply chain.
  • Manage all aspects of Supplier on boarding.
  • Ensure all system data relating to supplier information is accurate and up to date.
  • Manage poor performing suppliers with improvement/exit plan.
Product Management

  • Play a key role in all aspects of product onboarding and discontinuation.
  • In conjunction with the Product Marketeer, source new products in line with business requirements and current market trends to ensure KCS has a market leading range.
  • Identification, assessment and management of potential risks associated with sourcing strategies.
  • Periodically meet with customers to understand what products they buy, want and need to support enhanced procurement approaches.
  • Lead on resource activity where and when there is a business need.
  • Ensure all system data relating to product from a procurement perspective is accurate and up to date.
Reporting

  • Using in house tools, provide weekly, monthly report on individual KPI's (agreed performance targets including spend, savings secured and potential savings) and workstream/project updates.
Misc

  • Ensure compliance with appropriate legislation (i.e. Public Contract Regulations) and Commercial Service Group's policy and procedure.
  • 12month diary management to include supplier reviews, meetings, trade shows, contract meetings and key seasonality factors such as summer ordering for schools.
