The Oakdale Group provides a wide range of specialist assessments and psychological therapies for children, young people and adults with most of our services being commissioned by the NHS or Local Authorities.


Oakdale has Clinical Centres in Harrogate, Leeds and Halifax and also delivers services from other consulting rooms in the North of England and remotely on a nationwide basis.

Oakdale's Adoption Support Service


The service has grown significantly year on year and Oakdale now has approximately forty practitioners in the team, with some being employed and many working on a sessional basis.

The adoption support service works closely with our neurodevelopment service where we provide assessments for autism and ADHD as well as cognitive testing for families referred to the adoption support service.

Due to the growth and development of this service, and the reputation Oakdale has achieved, we are seeking a highly experienced senior coordinator to run the day to day delivery of services.


ROLE
To coordinate the running of the Oakdale Adoption Support Service.

This role would suit an organised and capable senior administrator or team leader, who shares Oakdale's values, and is keen to join a successful, dynamic service within a supportive forward-thinking organisation.


  • To take responsibility for the coordination, business support and administration of Oakdale's Adoption Support Services
  • Liaise with clients, social workers, commissioners, therapists and other external agencies to ensure that appropriate proposals are sent, referred cases are allocated and processed as agreed
  • Intake and management of new referrals giving accurate information about what the assessment/intervention involves, waiting list timescales, managing new funding and then allocation to suitable practitioners
  • Liaising with referred families and their social workers and schools and arranging clinical introductory meetings when needed
  • Supporting commissioners of Oakdale's services by providing them with the information they need
  • To use the monitoring and evaluation systems to help improve the management information regularly produced for the service and the commissioners
  • Supporting cases with coordinating appointment booking, diary management, reviews and reports
  • Arranging and attending review meetings and taking minutes
  • Overseeing the monthly invoicing process
  • Inducting new practitioners
  • Supporting practitioners with using Oakdale systems, managing their clinical hours and arranging professional liaison meetings
  • Working with colleagues to ensure that all cases are uploaded onto the database and kept up to date with all relevant information
  • Formatting and proofreading reports and letters
  • Sending and managing Client Feedback questionnaires and presenting the results
  • Ensuring Oakdale policies and procedures are followed
  • Sourcing and booking rooms for practitioners when required
  • Arranging case management and clinical supervision for practitioners

Person Specification

  • Professional, approachable and friendly
  • High level of personal and professional commitment, drive and motivation
  • Team player with good communication skills, being able to communicate well at all levels (both in writing and verbally) and build effective relationships with colleagues and other stakeholders
  • Excellent organisational skills
  • Responsible, trustworthy and reliable
  • Senior administration experience
  • Keen attention to detail
  • Organisational skills to deliver targets and meet deadlines
  • Excellent time management skills and ability to prioritise.
  • Knowledge and understanding of psychotherapy and psychological interventions would be advantageous
  • Having a naturally collaborative style and being a team player in order to genuinely support the delivery of high quality clinical service that you, your colleagues and the organisation can be proud of
