If this is what you are looking for, fun exciting and fast paced as it is, and your happy to throw yourself into a role and take responsibility for the planning, organisation and implementation of up to 40 events per year, 50% physical and 50% virtual, a mixture of both virtual and physical vents, small and large in size and conferences, in the B2B sector, based mostly in the Midlands and London, then this is for you

If you get a massive feeling of personal satisfaction in organising things and bringing order to chaos, and helping and serving others have a great time, down to your attention to detail and planning, then this role is for you?

Our organisation is vibrant and fast-paced, having ever increasing growth (even during lockdowns when we pivoted to digital events). We need some assistance now, someone to join our team and become the glue that makes the events work.


Our office is fun and vibrant, with a google hang out feel, we have lunches and snacks all included and all stop to have lunch together every day, we celebrate each other's successes, birthdays and important moments as a team...


To drive our continued success we need an energetic, enthusiastic and capable person to help organise our 40+ events each year and the office-based functions that go with running a very busy coaching and training company.


The role is primarily focused on planning and organisation, with customer and events team support, with very busy period (just before a conference) but with events every month to facilitate support, high volume environment the need for top class administrative & organisational support is paramount so accuracy and reliability is vital.


The Role
Responsibilities include;

For Physical events

  • Liaise with hotels ref events, food, drinks, accommodation and billing
  • Coordinate the running of the event to make sure all runs smoothly, deal with any customer or team concerns ref the hotel
  • Stock take preevent
  • Create individual Event Budgets and compare against expenditure
  • Organise and book, singers speakers and prepare presentations etc.
  • Room Layout re event and recheck stock post event
  • Organise Supplies, badges, books, SWAG, folders and Training material for event

For all events

  • Speaker organisation and management communication
  • Office Management of SWAG/Stationary/Supplies and Deliveries and Arrivals
  • Mix & nurture delegates at the event and attend evening functions with them
  • Answer queries issues, concerns from delegates on coaching programme and be first line of enquiry
  • Booking in attendees calls on bulk bookings or where info missing
  • Accommodation Payments from Delegates
  • Confirmation calls for attendees
  • Further info calls for stuff required such as addresses and t shirt sizes
  • Customer Service calls and follow up

General

  • Assist Directors and team with Book and organise Travel
  • An element of Office and Stock Management
  • Organise Appointments and rearrange appointments
  • Book appointments, meetings and change appointments,
  • The Coaching team do a lot of overseas trips and every year organise a delegate trip (2020 was a Cruise to the Bahamas) so quite complex) therefore assist by Booking travel or research complex travel for approval


As a member of an A-grade sales organisation that specialises in excellence, you will be working directly with the directors and coaches, this means you should have a "can do" attitude, should have strong interpersonal skills both face to face and by telephone, be articulate and naturally enthusiastic, helpful, and be capable of following a process accurately where necessary or thinking on your feet and therefore having the personal ability to take control where needed.

Your strengths must include organisational skills and the most important attribute is the ability to work with high levels of accuracy amongst a diverse team of experts and high-level players.


The role can be accommodated to suit working around school hours if needed therefore part time or full time but is office based working.

There is an opportunity for foreign travel with this role but not essential.

The salary package will be geared to your experience and ability to demonstrate the skills we seek.

You will be judged primarily on the accuracy of your work and your ability to deliver an organised, tidy and reliable event planning and organisation in a friendly and relaxed but highly productive environment.
