Purpose of role
To support the increase of the pipeline and conversion of events within the associations sector.

Support the team to promote London to the association sector.

Assisting with the research and identification of potential new clients, data collection and dissemination, supporting on citywides which contributes to winning new association events to London, and thus, contributing to the economic benefit of the city and London & Partners' GVA targets.

The convention bureau sits within Business tourism department whose remit is to attract business events to the city.

Key Tasks

  • Manage enquiry follow up to conversion, including organisation of site inspection facilitation/visits if required.
  • Proactive research support on targeted associations and citywide events as directed by the head of department.
  • To support the team in delivering £45m GVA
  • Assist the team with the large citywide bid documents including gathering the requisite hotel room blocks and venues for social programmes, as required.
  • Maintain and ensure the Salesforce account management system/database is kept up to date and accurate.
  • Support in the preparation of trade shows as required, to help manage incoming enquiries from the trade shows, including the follow up and communication post activity.
  • Assist the team in the gathering and collating the Associations data for annual ICCA rankings.
  • Support with project management for Associations events, keeping the activity calendar up to date and keeping timelines defined within the teams' diaries.
  • Other general administrative duties to maintain the smooth running of the department and to support Convention Services desk in busy times.
  • Collate relevant information from key Associations magazines for leads/ intelligence, including the ICCA hot leads.
  • Any other reasonable duties as allocated by the line manager: eg competitor knowledge and analysis, Salesforce reporting.
  • Day to day finance administration: raising purchase orders & invoices, ensuring the Commitment Records for the department are kept up to date.

You'll have/bring

  • Previous experience in an organisational / team support role.
  • Demonstrable administrative and organisational skills, including budget management, diary management and presentation development
  • Strong research abilities
  • Project management experience
  • Excellent communication skills verbal & written
  • Able to maintain successful relationships with internal and external networks that work to mutual benefit.
  • Able to clearly communicate when engaging with internal & external stakeholders, in confident and articulate manner.
  • Successfully delivers project tasks on time and to a high standard, using all available resources.
  • Takes responsibility and ownership of project tasks, continuously aiming to improve own performance.

The salary for this role has been approved as advertised in line with our pay structure. We will not negotiate or vary this figure upon offer or appointment.
