CLINICAL SYSTEMS/MEDIA ADMINISTRATOR


An exciting opportunity to join Sid Valley Practice in Sidmouth, a beautiful coastal town in East Devon with excellent transport routes to Exeter and other parts of Devon.


Reporting to the Operations Manager, we are looking to appoint a Clinical Systems/Media Administrator to ensure the smooth running of our systems and to offer support to the whole team including GP Partners, Salaried GPs, Nurse Practitioners, Nursing team and Admin team.


We are a hardworking and friendly team providing care to 14,600 patients in and around the communities of Sidmouth operating from two sites, the Beacon Medical Centre and our branch surgery, Blackmore Health Centre in the town centre.

Knowledge of SystmOne and Ardens systems desirable but not essential.

Salary £11.50 per hour depending on experience.

Enrolment to the NHS Pensions Scheme available.

5.6 weeks annual leave, inclusive of bank holidays.

MAIN PURPOSE OF THE POST:

To ensure the daily smooth running of the Practice's computer systems and to support clinical and other software installations/clinical reporting as required.

To provide exceptional patient care and high level of service to all patients at Sid Valley Practice. To act as a focal point of communications between patients, doctors and other

medical staff.

To provide admin assistance to doctors and practice staff

JOB SUMMARY:


To ensure the daily smooth running of the Practice's computer systems and to support clinical and other software installations/clinical reporting as required.

Ensure a good working relationship is maintained between the post holder and all surgery staff and attached staff.


You must be prepared to attend any courses which are specific to your job description, and which the management feel would be beneficial to the practice.

You must at all times be aware of and concerned with our Health and Safety at Work Policy.

You must ensure that you maintain total confidentiality.

No information about patients, either medical or personal may be disclosed to persons other than those employed by, or attached to, the practice for whom such information is relevant.

You must not advise or prescribe treatments for patients in a medical capacity.


Main responsibilities:


  • Daily administration of system backups tape.
  • Setting up new users and removing leavers on all systems where appropriate.
  • Investigate and resolve problems in the daytoday use of computers, printers and other clinical systems related equipment.
  • To be the first point of contact with the helpdesks of the clinical and other system suppliers.
  • Identify areas for development and enhancement of the clinical systems to ensure both ease of use and optimum data quality.
  • To become familiar in the System 1 clinical system and be able to train other users, both clinical and nonclinical, in the best use of the Ardens/Ardens Manager system, including clinical reporting.
  • Assist in the installation and configuration of hardware and software.
  • Report to the Practice Manager/Operations Manager any significant events relating to the IT systems.
  • Carry out audits as required.
  • Clinical monitoring/reporting and patient follow up on behalf of GPs.
  • Assist the Practice Manager/Operations Manager in the ongoing development and implementation of the Practice's clinical/IT strategy in respect of patient communications, new ways of working.
  • Manage, maintain and keep up to date all the Surgery's social media platforms
  • To keep the Practice Leaflet up to date.
  • Support the Patient Participation Group with input and distribution of the PPG Patient Newsletter.
  • To ensure up to date documents and information are uploaded to the patient TV screens in the waiting rooms.
  • Provide IT training support to GPs, Nurse Team, Admin and Reception staff.
  • Ensure security of data in accordance with the Data Protection Act/GDPR.
  • Ensure practice GDPR records are accurately maintained.
  • Keeping up to date records of all equipment on site including asset tags/new equipment and noting when equipment is broken or removed.
  • Ordering of toners/drums/labels for all printers and photocopiers.
  • Provide reception and phone cover as and when required. This may be anytime throughout the day to support busy periods or to cover holiday and sickness.
  • Responsibility for monitoring and updating NHS/Government platforms i.e. NHS Choices.
  • Support with Clinical Research alongside GPs.
  • Ensure Practice GP TeamNet is kept up to date.
