Job profile
The Executive Assistant's most important job is to help make the CEO as effective and efficient as possible. To do this you will provide highly confidential, comprehensive and effective support to the CEO. This will cover the full range of administrative tasks such as diary management, preparation of letters, minute taking etc.

The post holder will also work closely with the Leadership Team to provide them with ad hoc administrative support as and when required.

You'll use your strong interpersonal skills to liaise with people at all levels, including the exec team, Board Chairman and non-executive directors for the business.

You'll need to be confident owning and managing ad hoc projects as required. In addition you'll have experience of coordinating complex travel itineraries and editing PowerPoint presentations.


Primary objectives

The post holder will:


  • Undertake a wide range of tasks and assignments requiring considerable use of judgement, personal initiative and total discretion
  • Will be highly organised and have a methodical approach to workload
  • Following consultation with the CEO, the post holder will approve holiday requests for the CEO's direct reports
  • Act as a link between the CEO, The Board, the Leadership Team and other colleagues as necessary
  • Support the CEO and the Leadership Team with travel arrangements
  • Assist in Board relations such as document preparation and logistics for Board meetings
  • Take notes and produce minutes following the Remuneration Committee Meetings (REMCO)
  • Process CEO expenses and reimbursement claims
  • Coordinate employee meetings, take and disseminate meeting notes
  • Assist the CEO in helping to drive the urgency and temperature of the business
  • Ensure that the company values of Performance, Accountability, Transparency, Act with Integrity, Diversity & Inclusivity and Collaborative Culture are promoted and adhered to on a daily basis

Required knowledge, skills, and abilities

The post holder will have the following experience, skills, and attributes:

  • An EA with proven experience in a similar C-suite role and experience of providing support at Board level
  • An excellent communicator with the ability to write clearly and concisely
  • Highly efficient, with outstanding organisational skills
  • Be agile, with the ability to succeed in an evolving environment
  • Able to research, digest, analyse and present material clearly and concisely
  • Skilled at rapport and relationshipbuilding at all levels, and able to build trust and respect quickly
  • Able to work under pressure and manage multiple tasks at short notice
  • Solutionorientated, strategic thinker who is able to work autonomously
  • Trustworthy and aware of the need for confidentiality
  • Excellent influencing skills
  • A team player who actively contributes to the team and works together with the other members to support the goals of the organisation
  • Experienced in using MS Word, Outlook, PowerPoint, Excel and Microsoft Teams
  • Educated to A-Level standard or equivalent
  • RSA III or equivalent experience
  • Proven experience of minute taking at formal meetings, preparation of minutes with action points

Communications and working relationships
Communication and people skills are key to the success of the department.

The post holder must communicate widely with personnel at all levels within Axol Bioscience Ltd, with suppliers and customers as required.

The post holder is expected to engage in and promote positive communication within the team and the company as whole.


Job Type:
Part-time

Part-time hours: 30 per week


Salary:
£24,000.00-£28,500.00 per year
