The Opportunity


Nigel Wright are delighted to be partnered with our client, based in Newcastle City Centre as they are looking for an Executive Administrator.

This is a part-time Permanent opportunity, to work 21 hours per week. This can be across 3 full days or 5 shorter days, our client is flexible.

Key Responsibilities


The role is to support the Director of Finance and the Executive Board to support the objectives of the business across all Administration, PA and Basic Accounts.


Duties will include but are not limited to:

  • Opening and handling of daily post including the mailing of any outgoing post
  • Arranging Board, Sub-Committee meetings and Annual General Meetings including venue booking and catering arrangements
  • Assistance with the preparation of papers for Board, Committee and Annual General meetings including distribution of papers
  • Archiving of documents to Docuware
  • Insurance administration including liaison with insurance brokers for renewals and record of insurance cover held
  • Maintaining and ordering stationery supplies as required including the monitoring of the first aid kit stocks and replenishing as required
  • Petty cash administration
  • Arranging hotel accommodation for Directors before Board meetings as requested including dinner reservations for Board meals
  • Property Administration including collection of ground and commercial rents, responding to queries and dealing with correspondence
  • Maintenance of all cash books including daily and month end bank reconciliations
  • Maintenance of spreadsheets and liaison with managers to obtain contract notes, valuation statements and reports
  • Recording and checking of invoices received ready for payment including verification of bank details
  • Banking of any cheques received
  • Assisting with the preparation of year end audit letter and rollforward of accounts
  • To act as back up support for payroll processing in the absence of the Director of Finance
Person Specification


The post holder should:

  • Be a natural team player with a positive "can do" attitude.
  • Possess excellent IT and communication skills(including word and excel).
  • Have a strong academic background and be capable of understanding legal terms and dealing with legal documents.
  • Possess excellent planning and organisational skills with a good eye for detail.
  • Have a good understanding of basic accounting, bank reconciliations and invoicing
