Responsibilities:


THE ROLE:


This position is responsible for coordinating and overseeing all administrative duties that pertain to supporting the business division including director level support.

This level of support includes, but is not limited to, project management, calendar and meeting management, travel, goods & services purchasing, report preparation, and expense reporting.


THE PERSON:


KEY RESPONSIBILITIES:


  • Perform general administrative duties of team admin
  • Organize and maintain paper and electronic files
  • Schedule meetings and book conference rooms using Outlook Calendar
  • Schedule multisite video conferences using online web tool
  • Order catering using online web tool
  • Book domestic and international travel using online web tool
  • Submit expense reports using online web tool
  • Order office supplies and business cards using online web tool
  • Order hardware from inhouse provider
  • Sign for and distribute UPS/Fed Ex packages
  • Support staff in assigned projectbased work
  • Processing of Customer Access Requests
  • Finance Functions: enter, track PO's in the SAP system
  • Track travel expenditures
  • Loading budgets; Tracking spend plans; Assisting in slides and report consolidation

PREFERRED EXPERIENCE:


  • Advanced skills and experience with MS Office Applications
  • Strong communication skills, both written and oral
  • Ability to balance multiple tasks in a fastpaced environment
  • Maintain a high degree of confidentiality
  • Detail oriented with the ability to multitask
  • Ability to work with all levels of management
  • Ability to work independently on projects with mínimal supervision
  • Strong interpersonal skills
  • Strong customerservice orientation and approachable style
