We are looking to appoint a PA to the ECI Director and Associate Director.

You will provide administrative support and deal with a wide range of matters, sometimes of a highly confidential nature, on their behalf.

The postholder will have a responsible role and will provide excellent administrative, communication and organisational skills to ensure that the Director's office is run efficiently and effectively.

The post-holder should be able to build strong working relationships with senior colleagues in ECI, across SoGE, and with external stakeholders.


The successful applicant will be responsible for diary management for both line managers including liaising with other staff, research associates and external collaborators/stakeholders to plan meetings, phone/video calls, conference calls, supervision and teaching and co-ordinate attendance at external conferences, seminars and talks.

This will also include making frequent complex overseas travel arrangements by organising flights, accommodation, transfers, visas and travel insurance in liaison with administrative and other team members.

You will be responsible for the efficient organisation of meetings, including catering arrangements; preparing and circulating papers, agendas, minutes and draft briefing notes.

You will take and distribute minutes as necessary.

You will provide full administrative support on financial matters:

for example, the management of travel, subsistence and other expenses and allowances in liaison with the finance office and external organisations.


This position requires excellent organisational and administrative skills; the ability to prioritise and manage a busy and diverse workload and work to deadlines.

Experience of diary management, including making complex travel arrangements is essential. You will have the ability to draft correspondence and to produce well-presented reports. Excellent IT skills including MS Office is a must. You will have a high standard of numeracy and the ability to manage finances. It is also essential that you have experience of working on confidential matters; tact and discretion. You will have strong communications skills (verbal and written) with the ability to communicate at all levels.
