The Laboratory Services Coordinator is responsible for overseeing the lab equipment and instrumentation function.

This entails coordinating processes associated with the life-cycle management, servicing and repair of key equipment and instrumentation at the Oxford Research site.

The role has supervisory responsibilities as well as responsibilities within Operations project teams to provide support and coordination relating to equipment and instrumentation.

The Coordinator works closely with members of the wider Laboratory Services, Operations and R&D teams to ensure the smooth running of the Laboratories.

They require no day-to-day supervision and have complete responsibility for certain functions unless stated otherwise.


KEY RESPONSIBILITIES:

  • Has overall responsibility for the lab Instrumentation function, overseeing all related processes to ensure that lab equipment runs smoothly.
  • Coordinates the inhouse instrumentation team (outsourced through Renovo, including 1x account manager/planner/scheduler and 1x instrumentation engineer).
  • Oversees Asset Lifecycle Management (ALM), including, but not limited to:
  • Lab equipment acquisition reviews and ensuring site readiness.
  • Coordinating the delivery, siting, and installation of new laboratory equipment.
  • Lab equipment service contract review, negotiations, budget & purchase orders.
  • Scheduling & coordinating engineer visits including PMs, repairs and calibrations, IQs/Oqs, safety tests
  • Lab equipment moves, disposals and onsite/offsite storage inventory.
  • Ensuring the upkeep of asset management system for lab equipment, including asset tagging.
  • Oversight of the teams instrumentation contractor visits, including supervision, safety briefings and permits.
  • Close communications with End-Users, Procurement, Internal Contractors and vendors to manage lab instrument service contracts, repairs, parts orders, servicing.
  • Responds to and resolves online help desk requests across areas of responsibility.
  • Ensures all risk assessments and SOPs in area of responsibility are maintained and reflect current practice.
  • Keeps all instrumentation documentation and metrics up to date including utilization dashboards.
  • Support Lab Services, FM and EHSS teams with site projects (e.g. relating to instrumentation, lab furniture/services installations and refits) and compliance (H&S policy, insurance inspections, gassystem/power shutdowns etc).
  • Related administration and use of software systems eg orders / invoices, asset databases etc.
  • Deliver continuous improvement within remit eg. Efficiencies, cost savings, sustainability initiatives
  • Assist and cover for own team members and support for wider Laboratory Services groups, as required.
  • Other duties as directed by the Laboratory Services Manager.
  • Out of hours/weekend work may be required occasionally for large equipment installs or lab renovations.
  • Motivated and assertive attitude with excellent customer services in the Pharmaceutical or Biotech industry.
  • Experience in coordinating staff, leading a team and developing team unity.
  • Team player with experience of strong communication skills with all levels including senior management.
  • Good awareness of health, safety and environmental legislation relevant to the role.
  • Strong, independent judgment to organize services, seek out and implement improvements and new initiatives
  • Proven organizational skills with the capability to set and meet deadlines in a timely and efficient manner.
  • Proven ability to be adaptable, assist other functions and to achieve buyin from other groups.
  • Attention to detail, excellent selforganisation skills and ability to work under critical time pressures.
