Temporary PA to Director / Admin - Children & Family Services

Pay rate:
Up to £17.48 per hour PAYE depending on experience


Role Length:
This opening assignment is for 9 months


  • Manage correspondence on behalf of the Chief Executive/ Executive Directors/Director which may include scanning, recording items, directing to the relevant colleague for action and obtaining signatures as required.
  • Draft and coordinate responses to correspondence on behalf of the Chief Executive/ Executive Directors/Director.
  • Manage the divisional records, ensuring that documents for retention are stored electronically where possible.
  • Answer and deal with telephone enquiries on behalf of the Chief Executive/ Executive Directors/Director, dealing with the enquiry personally, taking a message or referring the caller onto a colleague as required.
  • Manage the Chief Executive/ Executive Directors/Director's diary. This will include arranging meetings and making adjustments as required. Organise travel arrangements for the Chief Executive/ Executive Directors/Director as required.
  • Collate background papers and information for meetings and arrange refreshments for external meetings as required. Assist with arranging departmental and/or divisional meetings as required.
  • Take minutes for key meetings as required by the Chief Executive/ Executive Directors/Director Director/Assistant Director.
  • Organise Cabinet Member (s) meetings as required, including setting the date and time, producing the agenda, taking minutes and following up on actions.
  • Type up meeting notes from 121s for the record, as required by the Chief Executive/ Executive Directors/Director

Experience:


  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  • Proven experience of working as a Personal Assistant at senior management level desirable.
  • Experience of providing accurate minutes of meetings.
  • Knowledge of a wide range of IT packages e.g. Word, Excel, Outlook, Lync.

Skills:


  • Excellent administrative and organisational skills and able to work under pressure and be adept at managing own workload.
  • Highly organised, efficient and motivated.
  • Proven ability to use own initiative to resolve problems promptly.
  • Excellent communication skills and a good team player.
  • Ability to manage and prioritise busy workloads and meet deadlines.
  • Able to handle sensitive information, maintaining confidentiality, and to work flexibly to ensure the office is covered.
  • Ability to converse at ease with customers and provide advice in accurate spoken English is essential and consistent with the requirements of this role. Able to be polite and courteous when conversing with the public
  • Ability to work from other locations as required.
  • Ability to work some evenings and weekends as required.
  • Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).
