Birmingham City University is a large and diverse place to study right in the heart of the city and we currently have an exciting opportunity for an Administrative Officer to join our dynamic team working on the Higher-Level Skills Match Project.

The role will suit an experienced administrator with knowledge of European Social Funded projects looking to advance their career in administration or project management.


The Higher-Level Skills Match (HLSM) Project is funded by the European Social Fund and works in partnership with Aston University, Newman University and Lichfield and Tamworth Councils to promote graduate talent and upskill SMEs in the GBS LEP area.

Working directly with the Programme Manager, the Administrative Officer will primarily support the day-to-day running of the HLSM project, with particular detail to ESF funding compliance and governance requirements, whilst also supporting other members of the project team deliver business support activity.


Main Responsibilities:

The Administrative Officer will work in the central project team and is responsible for a broad range of support activities including:

  • Provide comprehensive support to Committees undertaking all arrangements.
  • Draft agendas and collate and proofread papers, minutes and reports.
  • Arrange venues and hospitality for all project meetings where required.
  • Raise all project purchase orders and process partner payments.
  • Support the Events and Marketing Officer in the coordination of all project events including business development workshops and networking events.
  • Support the Programme Manager to ensure all project documentation is compliant and correctly inputted to our CRM system.
  • Receive and distribute business referrals to project Account Managers.
  • Handle general project enquiries.

Skills and Experience:

The Administrative Officer will require the following skills and experience:

  • Educated to a degree level.
  • Experience working with external funding, preferably European Social Fund.
  • Excellent IT skills in word processing, spreadsheet and presentation software, preferably Microsoft Excel, Word, PowerPoint and Teams.
  • High proficiency in minute taking.
  • Experience using CRM systems.
  • Excellent organisation skills.
  • Experience of providing high quality customer service and the ability to work with numerous stakeholders.
  • Ability to use their own initiative when completing work.
