Office Manager

This role sits within the Operations function of Biohm, with a particular focus on the Business Services and Finance Management subfunctions, including:

  • Bookkeeping and financial | Record and correctly code daily business transactions through the use of the company's accounting and bookkeeping software. Assist the Budget Holder/s with reporting and managing budgets.
  • Business administration | Establish and maintain the company's administration systems, including IT/digital and paper filing systems, digital platforms, databases and forms, ensuring protocols are developed and followed. Assist the Director of Operationsin identifying appropriate digital tools and in negotiating contracts with suppliers.
  • Office management | Establish and manage effective office management systems and protocols for the use and maintenance of the space. Organising meetings, booking transport and accommodation, organising company events and activities, and managing stock. ManageBiohm's office, including ensuring that all relevant contracts and services are maintained, coordinated and supervised, as well as procuring appropriate providers and seeking new ones.
  • Diary management and meeting support | Effectively manage the diaries of the senior management team and coordinate with board members. Take minutes at meetings as directed by the Director of Operations.
  • Logistics | Build effective relationships with carriers and couriers and manage all deliveries, including mail. Act as the first point of contact for external visitors visiting the office.
This role will also assist the Director of Operations with:

  • Preparation of business reports for the senior management team and board of directors
  • Monitoring employee wellbeing, productivity and attendance to identify any areas for improvement.
  • Credit control and collection of payment from clients
  • Sourcing and contracting IT equipment and digital tools.

Key Requirements:

  • Minimum of 2 years within an office management position.
  • A bachelor's degree in a related field business management, business administration, accounting, finance or similar.
  • Strong MS skills and proficient in the use of Google suite and other internal management platforms.

Key Skills:

  • Excellent organisational and time management skills, including the ability to prioritise tasks and work programmes.
  • Good working knowledge of Microsoft Office Suite and other packages, such as Google Suite. Knowledge of administrative software packages;
  • Strong IT skills
  • Great team working skills and the confidence to lead and motivate;
  • Emotional intelligence and awareness; excellent communication, negotiation and relationship building skills, with the ability to converse at senior and board level;
  • Flexibility and the ability to adapt quickly to changes;
  • The ability to think critically and take initiative to solve problems;
  • Great project management skills;
  • Proven organisational excellence;
  • The ability to 'make things happen';
  • Attention to detail
  • Strong and proven experience in an administrative role;
  • Good interpersonal and time management skills;
  • Basic bookkeeping skills would be desirable, but are not essential;
  • Reliability and discretion: you will often learn of confidential matters.
