Legal Secretary - Family Law
We are seeking an experienced and proactive Legal Secretary to join our client's Family Law department.
As a Legal Secretary, you will play a crucial role in providing direct support to your principal, enabling them to operate efficiently and deliver high-quality legal services.
You will have a range of responsibilities, including drafting documents, audio-typing, file management, client communication, and administrative tasks. This role requires strong self-management, initiative, and attention to detail.Responsibilities:
- Act independently from the fee earner in managing client matters, following established procedures and guidelines.
- Draft various legal documents and correspondence with accuracy and attention to detail.
- Handle procedures in the absence of the fee earner, ensuring the smooth progress of client matters.
- Prepare and process correspondence and documents using audiotyping and word processing.
- Administer filing, including daily filing and the organization, storage, and retrieval of client files in accordance with the Office Manual procedures.
- Prepare mail, enclosures, and packages for despatch.
- Coordinate copying and ensure completion of tasks, including arranging for inperson copying when the office junior is unavailable.
- Schedule appointments, arrange meetings, and maintain an uptodate diary for your principal, including maintaining a brought forward file system.
- Complete relevant forms and statements related to client matters.
- Input data into the firm's computer system as required.
- Assist in updating precedents as instructed.
- Attend to clients in person and on the telephone, providing professional and friendly support in line with the firm's client care standards.
- Maintain strict confidentiality of the firm's and clients' documentation and information.
- Handle client monies in compliance with Law Society rules and guidelines.
- Liaise with staff members from other teams and external contacts as necessary.
- Prioritize workload in consultation with the concerned fee earners.
Requirements:
- Previous experience as a Legal Secretary or Legal Assistant, preferably within a Family Law department.
- Proficient in secretarial practices with excellent wordprocessing and audiotyping skills.
- Strong efficiency and organizational skills, with proficiency in diary management and computer literacy.
- Pleasant yet assertive manner in dealing with colleagues and clients, demonstrating tact and resilience.
- Strong team player with the ability to work collaboratively.
- Pragmatic approach to managing workload and meeting deadlines.
- Excellent attention to detail and time management skills.
- Compassionate, flexible, enthusiastic, and loyal.
- Excellent verbal and written communication skills.
- Ability to maintain a high level of confidentiality and professionalism.
