The School of Pharmacy and Pharmaceutical Sciences is looking for a Finance Assistant to provide a professional finance administrative service to the School by completing a range of routine tasks to meet operational and customer service requirements.

The successful applicant will be providing support and guidance on financial procedures and regulations, ensuring the School Finance team is supported and key duties are undertaken.

The post will suit someone who is adaptable, motivated and enjoys the challenge of dealing with a variety of finance tasks.


  • This is an exciting time to be joining Cardiff University in a finance role as we are transforming how and where we provide our Finance Services. This includes the creation of a Finance Services Unit which will bring together all operational Finance services across the University into one Unit.
  • This position is full time, 35 hours per week and openended.

Salary:

£22,197 - £24,144 per annum (Grade 3)

JOB PURPOSE


Provide an administrative service to the School/Directorate, engaging in and completing a range of routine tasks to meet operational and customer service requirements.

Provide support and guidance to ensure that the School finances are undertaken in accordance with the University's financial regulations and procedures, ensure the Finance team is supported, and key duties undertaken.

    MAIN DUTIES & RESPONSIBILITIES

Key Duties

  • Collaborate with others in order to make recommendations for development of established processes and procedures
  • Establish working relationships with key contacts to help improve service levels
  • Undertake a variety of administrative duties to support the team and department
  • Gather and analyse data to update administrative systems with accurate information, establishing basic trends and patterns in any data submitted
  • Contribute to the success of the team, leading others through example and supporting the supervision and management of the team. Contribute to team meetings

Specific Duties

  • To act as first point of contact for financial enquiries in the School Finance team, dealing with a range of enquiries from internal and external customers in a professional and timely manner, establishing their requirements and adapting the standard response accordingly.
  • Undertake a variety of administrative duties to support the team and department

  • Develop and maintain a detailed and uptodate knowledge of the Financial Regulations and Procedures, Including School guidance on student expense claims. operate all procedures effectively ensuring appropriate compliance and report any discrepancies to the Finance Officer/Manager.
  • Input and retrieve financial data on the computerised Financial Systems such as Oracle and Business Objects.
  • To initiate, receive, check and/or process orders, invoices and transfer charges on the computerised Financial System (Oracle), ensuring validity and compliance with the Financial Regulations & Procedures and that the correct VAT treatments are applied.
  • Responsible for liaising directly with suppliers, external companies and members of staff in resolving discrepancies or problems with orders, invoices and payments, using initiative and understanding of the University's Financial Regulations.
  • Responsible for maintaining the School's inventory, recording acquisitions and disposals and undertaking annual review of the School inventory, liaising with the School's Research & Engagement team, Technical Services team and the University's Finance Division, to ensure the School's inventory is accurate.
  • Raise sales invoices to external stakeholders and liaise with the Finance Division.
  • Carry out a range of reconciliations, such as supplier statements, open orders and Invoice on holds.
