Job Summary
To be aware of the Company aims and objectives and to support the Director and Senior Management team to reach their targets and deliver on strategic goals.
Principal Accountabilities/Responsibilities
Organising the Managing Directors day
Liaise on a daily basis to identify key tasks
Maintaining diaries, updating appointments, being aware of the Directors movements at all times
Taking on some of the Directors responsibilities,working closely with management
Deputising for the Directors, making decisions,delegating work to others in their absence
To assist Directors and Senior Management to make the best use of their time by dealing with routing secretarial and administrative tasks
Screening telephone calls, enquiries and requests and handling them when appropriate
First point of contact with internal/external key personnel
Meeting and greeting visitors at all levels of seniority
Organising refreshments
Organising and attending meetings ensuring management are well prepared
To take dictation at meetings, providing general assistance during presentations
Arranging travel and accommodation
Taking on some of the Directors responsibilities working closely with management
Dealing with routine secretarial and administrative tasks
Devising and maintaining office systems
Provides full administration support for Senior Management as requested giving priority to the Managing Director.
Weekly:
Collate and circulate diaries for Senior Managers and Regional Consultants.
Ad Hoc:
Assist with the maintenance of the building and equipment for example notify Complete Vending of all problems, keep log where appropriate.
Co-ordinate sales conference and sales meetings. Liaise with WRA over venues, notify appropriate personnel and circulate details as required.
Co-ordinate training for new agents, write invitation letter to prospective new agents and circulate details to relevant HO personnel and regional Consultants.
Generation of all documentation relating to Agents including Raise contracts and relevant paperwork for agents taking and returning company vehicles, arranging insurance where appropriate and maintain insurance log for the broker.
Manage insurance claims for all company vehicles, liaise with broker/insurance company/garage.
Order work wear as required.
Attend Management meetings, prepare and circulate agenda. Write up and circulate minutes in a timely manner.
Co-ordinate the results of the Sales Agents' competition for their duration.
Organise annual gala dinner and any other corporate staff events as required.
Cover reception
Carry out any other duties as deemed necessary.
