This role will provide comprehensive administrative and organisational support to Regional Operations Managers (ROM's), this is a shared between a team of 3 across PI&R.
Inside the role:
- Opening and handling all incoming mail. Distributing appropriately according to its nature and bringing priorities to the forefront of the Operations team and brand team.
- Organising venues for meetings, internal and external customers; including where appropriate booking accommodation, transport, train/air/hire car/taxi ensuring that time tables are relevant, meet the needs of the meeting. Setting up conference calls asrequired.
- Ensuring at all times that best value is achieved in line with WHR expense policy
- Typing and issuing correspondence to include letters, invites to meetings, disciplinaries, appeal minutes and long service letters.
- Tracking expenditure of Brand Premier Inn Business Account cards and issuing statements to Operations Directors for sign off.
- Raising MADC forms for systems /laptop/phone/ equipment orders.
- Managing mailing lists, updating site lists when changes happen in time, in detail and with accuracy. Sharing information with broader Restaurants team as appropriate
- Ad hoc tasks: format and produce documents required for circulation or presentation as required; including presentations, proposals & briefs, chase & collate tasks.
- Administrative support for SDWorx queries and activities from ROMs. Follow up on ROM requests and actions
- Administration support for Oracle.
- Raising purchase orders and tracking spend against budget.
Fusion/Oracle - Process all invoices requiring approval - Ops admin and ROM (with approval). Raise purchase orders forgoods and services, track and evaluate progress of orders.
