The Post

Working as a member of the Careers team within Student Skills and Employability (SSE), to support the service aims of providing high quality careers education, information, advice and guidance to students, graduates and postgraduates.


The postholder will provide a range of support tasks including responding and directing enquiries from students, graduates and staff; coordinating communications and events; supporting administrative processes and services and maintaining information systems, whilst ensuring that a high-quality service is always provided.

This role is based in the Careers Service.

There will be travel for training, business engagement and other projects and activities deemed appropriate by the Head of Careers and Student Skills and Employability necessary for the role.


Description of Duties
Administrative support (to include monitoring mailboxes, dealing with student enquiries, preparing resources, uploading evaluations, admin tasks such as room bookings, etc) for student-facing careers activities and initiatives, including:

  • My Stirling Award
  • Faculty work, including careers education delivered in curriculum
  • Careers events
  • Support Careers Consultants in planning and arranging central, and faculty, careers events
  • Coordinate rota for Open Days and other marketing events
  • Source and update external events

Assist Information Manager, relating to:

  • Contribute to the maintenance and development of an effective and engaging Careers on Canvas site, Careers website and other channels
  • Review existing information, in line with the current information policy, GDPR, and WCAG requirements, to maintain its currency, relevance and accessibility to students and graduates on our Canvas modules and other channels
  • Ordering and stockmonitoring internal and external hardcopy resources in careers office and Student Hub, and elsewhere on campus as appropriate
  • Supporting and implementing a coherent communications schedule, content and campaigns that supports Careers operations to students
  • Managing Careers' social media channels, overseeing contributions from our Career Crew of student interns and acting as Career Crew Team Leader
  • Support the co-ordination and sharing of employability data to support service objectives, including reporting on impact of communications and engagement
  • Work with other SSE colleagues as part of a Communications Working Group to ensure consistency, efficiency, and effectiveness across service to all audiences
  • Liaise with relevant departments and colleagues across the university as required (e.g. Faculties, Communications and Marketing and Alumni) to support the promotion of Careers Service and SSE activities internally and externally

As part of SSE admin team:

  • Provide second-line response to enquiries to SSE from students, staff and external organisations
  • Support, providing training and backup when required, to colleagues in the Student Services Hub
  • Oversee TARGETconnect, and manage queries - e.g. registering new users, supporting staff users, trouble-shooting
  • General office administration, including finance, purchasing, payroll, HR issues, such as annual leave, booking meetings and travel, minute-taking, etc
  • Provide administrative support for the Careers team and as required for SSE, including PA duties for the Head of SSE
  • Represent Careers and SSE at internal and external events to raise the profile and promote opportunities across prospective and current student/graduate/staff audiences
  • Other tasks as and when required, including providing cover for other SSE co-ordinators

Essential Criteria

  • Educated to at least HNC/HND level with experience in a relevant role or substantial equivalent experience in an administrative role
  • Knowledge of, or interest in, the higher education sector and the student / graduate experience (either through lived experienced as a student or substantial work experience in the sector)
  • An ability to communicate, establish and maintain effective partnership working with colleagues at all levels within the Service and the University
  • A commitment to teamwork
  • Effective time management and the ability to work flexibly on several projects simultaneously
  • IT literacy including use of the full Microsoft Office suite (inc Word, Excel, SharePoint, Teams); relevant CRM/student databases (e.g. TARGETconnect); and social media
  • Experience of developing resources and/or promotions

Desirable Criteria

  • An understanding of careers education, Information, advice and guidance (CEIAG)
  • Specific knowledge of the following IT packages would be useful:
