Description
To provide an efficient administrative and clerical support service in line with service requirements.

As an important link between clinical staff, patients and GPs, the post holder will be expected to project a positive and helpful image at all times.

Excellent communication skills are essential for this role as the post holder is very much front of house and will be the first line of contact for our colleagues and visitors.


  • To provide administrative cover to the ward and ensuring that this is delivered to high standards.
  • To ensure the timely administration of admissions and discharge summaries and GP notification on discharge ensuring that all data is recorded on the discharge database.
  • To ensure PAS / Careflow is up to date and to know how accurate and timely data collection helps the Trust deliver patient care now and in the future.
  • To help your team meet its data quality targets by using data reports to correct errors and be aware of ongoing performance. Errors/omissions identified in data quality reports should be corrected for those data items where it is possible to do so.
  • To adhere to the Trust's service agreement procedures and manage the processing of referrals and admissions to ensure that all patient episodes are covered by a service agreement or overseas visitor authorisation.
  • To assist and support in collating administrative requirements, for example, to collate information relating to quality monitoring of discharge summaries, as requested by the ward/service Manager.
  • To ensure transport is booked and booked ready on time to prevent delayed discharge


North Middlesex University Hospital NHS Trust is an acute district general hospital based in North London that serves the community in Enfield, Haringey and beyond.

The Cape town/ Canterbury ward is based in Chase farm hospital, supporting a large range of services that include care of the elderly, patient that requires low rehabilitation and discharge services.

Current requirements of the service are 08:00- 20:00 7 days a week. You would be required to do Early (08:00-16:00) and Late (12:00-20:00) shifts


As a Ward clerk you will be a vital member of our team supporting our ward and providing effective communication and liaising with admissions and discharges.

Also, communicating with patient transport, nursing home, residential and community.

  • Communicate effectively and with a friendly manner with all staff groups and families.
  • To pass on any messages given in role to the appropriate person as soon as possible
  • Contact next of kin on admission, discharge, update on care changes and appointments
  • Adherence to the Trust's Equal Opportunities policy in the work place
  • Respond to requests for information and, where appropriate, pass on information to others, maintaining confidentiality.
  • Collect and sort departmental post and filling of patients notes
  • Maintain and update paperbased records and IT based information as required.
  • To process any documentation as requested and appropriate to department (e.g. booking in and out of medical records, processing stationary orders etc.)
  • Assist in the collection of department level data
  • To ensure the FFT is completed by patients, friends and family
