Description

We are a multifaceted Property Maintenance business based in SW London. We are looking for a full-time Back Office Assistant (Administrative) to work Monday - Friday, 8:30am - 5:30pm.
The role will involve assisting with the scheduling of our incoming works orders.

You will be working closely with the Maintenance Manager/Operations Manager and will be required to input the works order information into the system, schedule/manage the jobs in to the engineers' diaries, order materials and issue job completion cards and invoices.

The role will specifically require you to follow a process and structure on our management software system to ensure the scheduling of the jobs is completed accurately and efficiently.

Training will be provided on how to use the software system however, experience in using CRM software is advantageous.

A key aspect of the business is ensuring that the property managers / landlords that we receive the works order from are updated and excellent communication is imperative.


Alongside this, we will require the individual to assist with our own in-house portfolio of rental properties, by liaising and responding to tenant issues / repairs and scheduling these works into the system.

Some other administration tasks relating to the rental management of the portfolio may be required at some point.

Other admin tasks relating to the management of the rental portfolio, client portfolio and day-to-day smooth running of the office will also need to be carried out.


Main Responsibilities:


  • Scheduling new works orders and ordering materials for our engineers.
  • Promptly issuing job completion cards to customers along with invoices.
  • Liaising with tenants relating to issues and repairs. Followed by scheduling in any works required.
  • Any other admin tasks associated to the management of the rental portfolio.
  • Assisting with the smooth daytoday operation of the office

Job Requirements:


  • Ideally experience with scheduling or a property management background is advantageous.
  • Excellent customer service skills, with a polite and professional manner.
- _Strong_ Microsoft Outlook / Office skills.

  • Excellent written and verbal communication skills

Salary:
£23,000.00-£27,000.00 per year
