FINANCIAL
- To carry out financial procedures in accordance with the L.A.S.T Sure Start project.
- To maintain Sage 50 accounting systems as agreed with L.A.S.T. Sure Start Management directors and acceptable funders.
- To process all bills for payment and invoices relating to project activities, in accordance with the financial procedures and authorisation levels approved by the project manager and directors.
- To administer petty cash and keep up to date petty cash system as agreed by L.A.S.T. Management Directors.
- To develop and maintain an effective financial filing system, using computer systems where appropriate.
- To keep cheque book journal, bank reconciliation and produce monthly financial reports for monthly meetings with project manager/management directors.
- To ensure that a proper purchase ledger is kept, and orders approved by/signed by project manager and management directors.
- To ensure cleaning materials, stationary and other goods and services are ordered through purchasing procedure.
- To complete statistical and financial information required by funders as part of an agreed monitoring process and produce quarterly claims within the agreed deadline.
- To assist in the financial organisation of L.A.S.T Sure Start events and activates such as outings, open days, personal development programme activities, public relations events, funday's etc.
- To ensure redeployments are carried out using the appropriate template and under the agreed procedures.
- To highlight any financial concerns immediately to the Project Manager.
- To complete an assets registrar.
- To book PSV & Tax on the Minibuses.
- Data controller for GDPR.
ADMINISTRATION
- To answer the telephone in welcoming enthusiastic and sensitive manner.
- To act as a resource to the L.A.S.T. Sure Start Staff, Members and Management and Directors Committee on the use of computers, software, and other items of equipment.
- To undertake any reasonable duties requested by the L.A.S.T. Sure Start project manager.
- To assist all Sure Start staff in administration support i.e. Produce documents, Newsletters, Sure Start Programme Events Poster, Invites, Posters, Flyers, Letters, Tables etc in Word, Publisher and Excel and Power Point.
- Carry out reception duties, including dealing with enquiries both in person and by telephone.
- Provide support for meetings i.e., minute taking and refreshments etc.
- To ensure all end of year filing is archived and labelled.
- Photocopy documents and bind documents.
- Record incoming and outgoing post.
- To undertake any reasonable duties requested by the L.A.S.T. Sure Start Project Manager.
