I am delighted to inform you of 1 exciting opportunity within the Clinical Administration Service.

The roles are non patient facing roles within the Central Admin Hub and providing support to the Service Managers and Team Leaders.

We have a requirement to fill this essential role to support the needs of the service.

We currently have 1 Full Time Band 3 position available.

The Service Administrator role is a permanent role.

The Central Admin Hub is expanding rapidly and joining our team will enable you to help develop the role and the success of the team.

The Administrator role will provide an efficient, effective and high quality administrative support to health and social care professionals and service users/patients within a community based or district wide team.


  • Service Administrator roles support Medics and/or Clinical Teams

Delivery of clerical support to a range of identified clinical services prioritising and managing own workload using the workflow management system to respond to work activities, customer queries, responding to correspondence.


The administration assistant will provide support for:

  • Trust receptions and wards at designated community/hospital sites
  • General Administration support for defined community/hospital based clinical services

Main job responsibilities include:


  • General Administration
  • Data Inputting
  • Clinical Administration within Clinical record systems (appointment booking, record keeping, waiting list maintenance, adding referrals etc.)
  • Undertake planned and unplanned work activities as assigned by Team Supervisor
  • General office duties (Letter typing, photocopying, filing, ordering, support with office stock control, scanning, post etc.)
  • Booking interpreters or booking transport
  • Effective diary management
  • Meeting arrangements and support
  • Dictation / Audio Typing
  • Copy typing of assessments, reports and letters
  • Produce high quality documents from written, recorded, dictated material
  • Support with assigning workflow management activities
  • Manage own workload and activity so that deadlines are achieved
  • To support with collecting data
System Administration

  • Using workflow management system prioritising and supporting with coordination of requests
  • Book rooms across the Trust as requested through the booking system
  • Using Microsoft Office software as part of daily role
  • Using Trusts Intranet to support with role
  • Using Digital Dictation software and maintaining letter templates
Customer Service / Communication

  • Providing telephony service to Trust wide services and ensuring the calls are routed to the relevant service and department
  • Dealing with telephone and personal enquiries from members of the public and healthcare professionals. Provide nonclinical information and advice to patients and relatives within the boundaries of the role
  • Undertaking reception and front of house duties at designated sites
  • Using etechnologies to improve efficient ways of communication
  • Arranging appointments, interpreters and booking of transport as and when requested by members of the clinical teams.
  • Be a first point of contact for identified clinical services ensuring professional standards and the appropriate style of communication is deployed depending on the situation.
