Job Title:
Part Time Audio Typist & Administrator


Contracted hours:
Preferably 5 days a week (Monday - Friday) ideally from 10/10.30 am to 2.30/3pm. Would consider 3 full days per week (9 am - 5pm) to include a Monday


Pay:
Excellent rates of pay to be agreed dependent on experience (Starting at £13 per hour)


General:

Working with2 other part-time administration staff & other staff members in a friendly office with parking on the Western edge of Bath.

(close to Bristol).


Accountable to:
General Manager, Business Administrator & Managing Director.


Key responsibility Summary:


  • Audio typing must be experienced. (Companyspecific training will be given)
  • Answering incoming phone calls, taking efficient messages and passing them on to the appropriate colleague/ dealing with them as required.
  • Opening & sorting/ distributing paper post.
  • Paper Filing filing away, finding files, assisting with updating of filing system.
  • Online filing scanning, saving, changing & updating files on the Company system.
  • Updating company documents as requested.
  • Printing/ photocopying
  • Franking the post, being able to update the charge on the franking machine & order any necessary stationery related to it if requested.
  • Completing deposit invoices/ receipts as required/ requested.
  • Booking surveys for Company surveyors when other colleagues are not available to do so.
  • Taking payment details over the telephone, completing the payment on the card machine & completing all associated documentation/ tasks.
  • Learning how to deal with Guarantee processes & documentation.
  • Occasionally taking minutes of internal meetings.
  • Placing stationary orders with suppliers when requested.
  • Occasionally organising accommodation for site staff working away from home.
  • Undertaking any training required.
  • Communicating effectively with colleagues and line managers & bringing any concerns/ suggestions to their attention as soon as possible.
  • Providing office cover for the Administration Team whenever possible (eg. holidays, illness.)
  • Carrying out other duties which are within your capabilities that may be required from time to time by your employer.
  • Actively seek out ways of improving business outcomes and client satisfaction.
Training will be given on all business systems and processes.
