We are looking for a dynamic, self-motivated and focused PA to join the People Directorate (HR) in this pivotal role providing a full range of comprehensive secretarial and administrative support to Deputy and Operational Directors of People enabling the efficient operation of their portfolios.


This is a great opportunity for someone who demonstrates excellent organisation and prioritisation skills, self-motivated and thrives in a busy team and autonomous environment.

We're looking for someone who is an excellent team player, flexible, focused, resilient and manages conflicting priorities successfully.

You will act as an ambassador for the People Directorate and Trust.

This is a demanding, varied and interesting role and needs someone who is organised, has the ability to multitask, be responsive and adaptable to suit the variable and developing work of the senior managers and exercises discretion and confidentiality.

Main duties of the job


You will join the People Directorate and have opportunity to create and build relationships with a range of colleagues in a variety of roles and levels.

Exact responsibilities will be agreed between the post holder and their assigned senior managers and will include, but are not limited to:

Often being the first contact point to the senior managers and their reports, responding to queries and signposting

Pro-active management of complex diary arrangements including managing priorities and clashes. Maintaining free space in the diary to complete work, read papers, managing actions and responses

Meeting coordination and administration, including drafting documents, agendas, taking minutes and other administrative needs as required

Preparation of papers in advance of meetings as required, ensuring that minutes, papers, and correspondence are available

Processing invoices and other financial arrangements within scope of role

Meeting regularly with designated senior managers to discuss diary, agreeing priorities and monitoring workload

Working effectively with the wider teams across the People Directorate and cross covering other PAs

Supporting other adhoc and discrete pieces of work and projects

Essential criteria

  • Good standard of education including minimum GCSE A-C in Maths and English;
  • NVQ 3 Business Administration or equivalent experience;
Experience and Skills

  • Proven clerical/ administrative experience within customer care environment;
  • Experience of efficient diary management, meeting preparation and organising, filing system management, conference or equivalent planning
  • Minute taking experience and producing agendas
  • Ability to communicate effectively at all levels including senior managers and with external customers / stakeholders
  • Strong attention to detail
Desirable criteria

  • Experience of the NHS in a similar role within a large acute teaching hospital;
  • Previous NHS/Social Care experience
