Main Duties:


  • Provide high quality customer telephony services, answering and triaging calls professionally, helpfully and in a timely manner.
  • Provide compassionate customer service, dealing with a wide range of customers often presenting with complex needs and issues.
  • Answer customer queries within the remit of the role including taking ownership and following issues through to completion, while ensuring timely escalation as required to more senior staff ensuring information is accurate and complete.
  • Undertake a wide range of administrative duties to meet the needs of the department.
  • Create and maintain excellent recordkeeping arrangements to support the team, including document version control and good governance.
  • Monitor and manage organisational inboxes and correspondence appropriately
  • Provide administrative support to contribute to robust temporary accommodation and placement management.
  • Ensure the smooth day to day running of the team including the extraction and distribution of reports and data under the supervision of the designated line manager and adhere to GDPR regulations.
  • Assist with business planning within the Area such as administrative duties involved in the compilation of the Business Plan as well as the organisation of Business Away Days and staff events.
  • Organise and provide administrative support for a range of internal and external meetings, such as management team meetings, staff meetings and make an accurate and timely record of the minutes and actions in relation to same.
  • Maintain and manage an efficient document storage system for local and offsite storage including day to day management of document retention requirements under the supervision of the designated line manager.

Your Profile:


For the purposes of shortlisting, applicants must demonstrate their relevant experience for the number of years required, depending on their level of qualification, in all of the following 4 areas:

  • Confidence in providing a high quality direct phone or face to face customer service in a busy work environment.
  • Experience of accurately undertaking general administration tasks such as data entry and filing in a timely manner.
  • Experience of communicating effectively with both internal and external stakeholders both verbally and in writing.

Other:


  • This will be an admin role related to project work so experience in minute/notetaking is essential.
