We are seeking an enthusiastic, self-motivated, administrative assistant to provide support to the newly integrated Medicines Management Team in Mersey Care NHS Foundation Trust.

The Executive Team recognise and fully support the value of medicines management services and have provided a significant amount of additional funding to enable the transformation and expansion of our service.


We have recently completed an Organisational Change process; the service has been restructured to support a new enhanced model and is working under a newly established senior management team which is fully committed to delivering outstanding pharmacy services and investment into the professional development of the pharmacy workforce.


The new model has created a significant number of innovative and development roles which will enable us to improve the use of our resources and further develop high quality care.


This role will be within the Governance portfolio working with the Deputy Chief Pharmacist (Governance) and her team as well as the additional administrative team.

To provide a comprehensive and high quality secretarial/administrative support undertaking a wide range of administrative tasks, including personal responsibility for a number of delegated tasks, and providing cover and support alongside other secretarial support staff within the staff within the service

  • Work within the medicines management administration team to develop and maintain appropriate administrative systems.
  • Establish and provide high standards of support to the wider medicine's management team.
  • Organise the diaries and commitments of managers, including scheduling of meetings, conferences, including making catering and travel arrangements when necessary.
  • Attend team meetings, take notes, prepare agendas and other papers as required.
  • Sort and prioritise mail for the team dealing with all correspondence confidentially.

  • Responsible for the ordering, receipt, storage and issuing of controlled stationery including FP10 and hospital prescriptions in line with Trust policies and procedures and national guidelines.
  • Liaise with colleagues at all levels both within the team and across other agencies and in other organisations.
  • Prepare and type documents and spreadsheets as required.
  • Maintain appropriate supplies for the team, being responsible for all necessary ordering of supplies/equipment.
  • To organise and facilitate the distribution of medicines resources, including books and journals.
  • Receive, file and archive medicines management paperwork onto a computerised system, including prescriptions and stock sheets.
  • Receive and process invoices, in line with departmental procedures and policies, keeping a record of invoices paid.
  • Maintenance of computerised and paper-based staff records including annual leave, sickness absence, time off in lieu, bank shifts, overtime and carers leave.
  • To communicate with service users, medicines management staff, drivers, other trust staff, and staff from external organisations.
  • To attend and proactively contribute to team meetings.
  • To undertake other relevant duties which are commensurate with the role, including project work and absence cover.
