The Faculty Services team at Imperial College Business School is responsible for facilities management, services, operational ICT, construction and refurbishment projects, minor works and space planning, it is a busy team overseeing space in 10 different buildings in South Kensington and additional space at the White City Campus.

The Projects and Minor Works Coordinator is responsible for coordinating and helping to deliver all Business School spaces to a professional standard to support Business School staff and students.


The post holder will manage the organisation of ongoing projects and minor works, this involves monitoring project plans, schedules, budgets and expenditure, organising and participating in stake holder meetings, ensuring project deadlines are met in a timely manner.

Also, responsible for planning and delivering continual minor works and minor projects to ensure all Business School spaces are presented professionally, using excellent information management and communication skills.

You will work autonomously; organising and planning your own work activities and will be required to work flexibly in order to respond to changing demands to meet service delivery and customer service requirements.

You will need to be able to work to tight deadlines, be excellent at multitasking, communicating verbally and in writing and organising schedules, have great attention to detail and using your initiative to complete tasks.


Duties and responsibilities:


  • Taking ownership of maintaining and monitoring project plans, schedules, budgets and expenditure.
  • Leading on preparing, documenting and taking actions from meetings
  • Preparing necessary presentation materials for meetings
  • Oversee the delivery of projects.
  • Responsible for creating timely project milestone schedules and project snagging lists,
  • Analyse and implement project data to make future projects more productive and cost/time efficient.
  • Managing contractors and service providers
  • Taking ownership of maintaining all project documentation
  • Organising, attending and minute taking at stakeholder and project team meetings
  • Ensuring all areas are well maintained.
  • Completing regular audits

Essential requirements:


  • Educated to degree level or equivalent.
  • Experience of the university and/or business school sectors.
  • Experience of working in a project team.
  • Working knowledge of project management processes in Higher Education
  • Understanding of the importance and requirements of good team working, with the ability to promote and facilitate these.
  • Strong interpersonal skills and the ability to influence people at all levels throughout the organisation and externally.
  • Ability to perform effectively under pressure with good personal organisation and time management skills.
