Job summary
An exciting opportunity has arisen for a motivated and enthusiastic individual to join our friendly and supportive Administration Team.


The successful applicant will work alongside the Administration Team, being be the key point of contact for Focus clinicians working on various contracts, including NHS Talking Therapies - Improving Access to Psychological Therapies (IAPT) and Staff Counselling Services.


Main duties of the job


The successful applicant should be able to communicate in a confident but compassionate manner with patients, therapists and other colleagues - both within Focus and the wider Clinical Network.


An excellent telephone manner is required as the applicant will be the first point of contact for both patients and therapists.

The role requires face to face contact with patients as part of a hybrid working model.

The post holder should be confident in working on a digital appointment booking and record keeping database. Experience of using Iaptus or PCMIS systems is desirable, but full training will be given.


Applicants must be able to demonstrate excellent interpersonal, communication and team working skills, together with an ability to prioritise workloads and work flexibly to achieve deadlines.

General

  • Following processes and procedures accurately, to facilitate movements in a patient's care pathway.
  • Maintain the accuracy of information within patient databases ensuring processes, and procedures have been followed correctly, by analysing and/or creating reports using Microsoft Excel.
  • Become a 'superuser' across all CRM system/patient databases.
  • Maintaining a clean and tidy work environment.
  • Work with the highest regard to Focus policies and procedures, including health and safety and escalating issues and concerns as appropriate
  • Maintaining accurate, confidential records inline with Focus policy and statutory guidance
  • Take an active role in team meetings, ensuring accurate and timely minutes are written and distributed as required.
  • Support the duties of the Administration Team when required, including but not limited to: handling phone calls, managing appointment cancellations, room scheduling,
- clinician's diaries, sending appointment reminders, booking appointments.

  • Undertake any additional duties as deemed appropriate.

Key Specific Responsibilities:


  • Support the senior clinicians and clinicians in the coordination of all key administrative tasks associated with the following processes, including but not limited to; changes in modalities, review of care pathway movements, administrative errors.
  • Be the first port of call for clinical queries and administrative processes, procedures and escalating issues where appropriate.
  • Attend biweekly Clinical Team and Administrative Team meetings.
  • Develop and maintain effective systems to manage clinical information relating to patients.

Person Specification

Knowledge, Skills & Experience

1.
Essential

  • NVQ Level 3 in Business Administration or equivalent experience
  • Previous experience in a clinical or administrative capacity within a busy office environment
  • Excellent working knowledge of MS Office packages, including Word, Excel, PowerPoint
  • Ability to work under pressure, including prioritising your workload, excellent timemanagement skills and the ability to adapt and respond to changing circumstances
  • Excellent communication skills including verbal, written and electronic, with the ability to engage effectively with members of the public, stakeholders and staff at all levels
  • Excellent organisational skills including managing multiple inboxes and ability to assess situations to know when to escalate to management.
  • Proactive at identifying and improving business processes relevant to area of work

2.
Desirable

  • Previous experience of working in a health and social care/mental health/IAPT setting
  • An introductory counselling qualification
  • Previous experience of setting up and/or working with CRM systems and online databases
  • Previous experience of taking minutes within meetings.

£21,730.00 per year
