JOB SUMMARY:


We are looking for an experienced personal assistant with exceptional organisational and interpersonal skills to provide essential confidential, professional administrative business support to the Managing Director and the Marketing Director.

This highlyskilled and discreet PA will co-ordinate the smooth operation of the Directors' diaries, travel and administration arrangements.

They will be adept at managinga wide range of business communications daily with global business leaders and all levels of associateswithin the business.

They will also manage VIP visitors to site and companywide events.


SPECIFIC RESPONSIBILITIES:


  • Own all aspects of diary management. Coordinate schedules, meetings and appointments across timezones, anticipate clashes and respect personal commitments, often with last minute alterations.
  • Act as gatekeeper in relation to external meeting requests and internal requirements.
  • Answer calls and relay all messages in a prompt manner.
  • Meet and greet VIPs (internal and external), provide refreshments as appropriate.
  • Facilitate all aspects of inperson and virtual meetings. Research locations, book venues, setup rooms, order refreshments. Perform background research, record meeting minutes, circulate actions and monitor & report on progress.
  • Prepare documentation and background research for the Directors, ensuring prereading materials and actions are available where required.
  • Book business travel arrangements, including flights, transportation, accommodation, dining and entertainment, ensuring expenses are in line with company policy.
  • Provide full support with organising overseas trips for Directors, compiling itineraries and managing busy schedules whilst Directors are abroad, sometimes working late due to different time zones.
  • Process monthly expenses and review/obtain approval for expenses of Directors' direct reports.
  • Review and approve timeoff for direct reports of executive leader. Maintain Executive team holiday chart.
  • Purchase gifts and organise recognition on behalf of the Directors'.
  • Act as the Directors' first point of contact and ambassador with people from both inside and outside the organisation, ensuring an exceptional level of customer service at all times.
  • Assist in the organisation of companywide events.
  • Understand different management and work styles, and flex own style accordingly.
  • Proactively prepare documentation, reports, materials and background research, monitoring upcoming meetings and events, and delegate tasks and actions where required.
  • Respond appropriately to requests for information etc, particularly from Kohler Co. and from all levels of management, associates and external customers.
  • Provide proxy support/approval for critical Business documents.
  • Act with the utmost discretion on Executive, Personnel and Financial matters.
  • Implement processes and procedures to ensure best practice and consistent approach/delivery.
  • Cultivate networks both internally and externally, liaising courteously, professionally and positively at all levels.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Highly selfsufficient, resourceful and motivated with exceptional organisational skills.
  • Impeccable written and verbal communication skills.
  • Strong numeracy and literacy skills.
  • Able to work in a team with a strong team ethic as well as independently.
  • An enthusiastic, flexible and adaptable approach to work.
  • Detail oriented with excellent level of accuracy.
  • Ability to be proactive and not just wait for instruction.
  • Excellent interpersonal skills.
  • Adept at dealing with a diverse mix of partners and associates across several countries
  • Able to prioritise workload and able to adapt quickly to changes in priorities.
  • Attention to detail.
  • Discretion to handle confidential and sensitive matters.
  • Able to produce high quality work to tight deadlines.
  • Able to work on own initiative with limited supervision.
  • Excellent PC skills to include all Microsoft Office, Outlook (diary and meeting management), video and telephone conferencing.
  • Highly customer focussed (internal and external).
  • Flexible approach to working hours, including out of hours support where required and occasional travel.
