Interim Project Support Administrator - Finance Improvement Programme (FIP)


Liverpool

£16.84 per hour plus holiday pay

35 hours per week ( Mon to Fri )

Overview:
  • 2 Posts
  • 6 months
  • Sits within the Corporate Programme Management Office (PMO) reporting to the Head of the Programme Management Office but working directly to the Finance Improvement Programme's Programme Lead.
  • As part of its improvement journey, the Council appointed CIPFA to undertake a review of its financial management and resilience practices. On the back of the review a Finance Improvement Programme (FIP) is now mobilised and we require a project support officer to provide experience and skills in supporting the completion of the setup of the programme and support to ongoing delivery of projects.
  • The FIP currently has seven workstreams with an external team supporting delivery alongside the council's own delivery team. The focus is to look at immediate improvements and then medium to longer term transformation. This means close working with the services we engage with, which are councilwide, as well as working day to day with the finance team.

Hybrid worker, with a requirement to work on site for 3 days a week with the team, based in, Liverpool.

Key Responsibilities:
  • Prepare papers, reports, meeting arrangements for the programme's governance, including monthly Board meetings and weekly and fortnightly operational meetings.
  • Support with managing project documentation, including identifying milestones on project plans, forward plans, change control and RAID logs.
  • Arrange, attend and minute/record meetings where required.
  • Support the work and delivery of priorities of the Programme Team.
  • Ensure timely support to the programme, providing administrative services and to use, develop and maintain procedures and codes of working practice that maintain and enhance quality.

What you'll need:
  • Extensive experience in the use of all aspects of IT including Microsoft Office Suite, including the ability to create and maintain complex spreadsheets and preparing reports, presentations, papers via a formal governance route for decision making.
  • Experience in providing administrative and project documentation as part of a team.
  • Experience of minute taking.
  • Ability to work effectively to timescales and to meet deadlines.
  • Strong organisational skills.
  • Effective communication skills.
