Activities and Responsibilities of the Post
Principle Purpose of the role

We are pleased to offer a vacancy for Programme Support working in our Portfolio Management Office (PMO).

The role provides a support function in the coordination of planning, reporting and delivery activities for the overarching programme of change.

Standard hours of work are 37 per week Monday to Friday.

The role is considered a hybrid home worker, meaning that the core function of this role can predominantly be delivered from home but you may need to attend force premises for wellbeing/team meetings, cultural events, and creative or collaborative activities.

This post is offered on a permanent basis and consideration will be given to whether the post can be delivered on either a part time or job share basis, in line with the organisational requirements of this role.

Main Activities of the Role

  • Organise and attend, where required, key Chief Officer/decision making meetings to record minutes and appropriate actions
  • Act as a central coordination point for receiving, collating and distributing programme and project information, including information for project boards, HMICFRS and Internal Audit
  • Update as requested programme and project documentation; including corporately agreed templates
  • Undertake basic research and analysis tasks and accurately produce documents, reports and presentation material making recommendations where appropriate to assist in the delivery of the change programme
  • Provide support to members of the Strategic Business and Operational Services (SBOS) senior management team, to include filtering telephone calls, correspondence, receive visitors, arrange appointments and meetings and maintain diaries
  • Manage and maintain the programme governance calendar ensuring key reporting timelines are updated in line with PCC and Executive meeting dates
  • Provide administrative support; that includes, but is not limited to; purchase requisitions, maintaining file and directory permissions for new starters and leavers, maintenance of department asset registers and organisational structure charts
  • Act as the single point of contact for the department intranet site, liaising with managers where appropriate regarding individual site development and updates
  • Work with function leads to assist with planning initial induction for new members to the department
  • Any other duties commensurate with the role and grade as may be requested by management
Person Specification

It is essential that applicants meet the following criteria:

  • Experience of or good knowledge of working within a programme/project management environment, including attention to detail and ensuring transparency of the process
  • Extensive working knowledge of Microsoft Office systems, in particular; Word, Excel and Visio
  • Demonstrate highly competent communication and interpersonal skills with the ability to liaise with officers and staff at all levels
  • Ability to manage own workload to include multiple priorities across a range of tasks, with demonstrable experience of working to agreed timescales
  • Proven ability to research and accurately compose documents/presentations and make recommendations
  • Demonstrate an ability to operate within a sensitive/ confidential environment, maintaining integrity and professionalism at all times
  • Ability to travel between Norfolk and Suffolk
It is desirable that applicants meet the following criteria:

  • Understanding of the issues facing Norfolk and Suffolk Constabularies at a local, regional and national level

  • Whilst the role is normally based at the aforementioned location, you may be required to work at other establishments across both Norfolk and Suffolk Constabularies as may be reasonably required. Police Staff Conditions of Service will be adhered to in such instances
