Bids Assistant

Hybrid | Bids and Tenders | Permanent | Full-Time 37.5 hours

Competitive salary, depending on experience

Nuffield Health is the charity that's building a healthier nation, one day at a time.

From award-winning hospitals and leisure facilities to flagship community programmes - we'll do whatever it takes to look after the UK's wellbeing.

It starts with passion and commitment to quality. It starts with you.

As our Bid Assistant, you will be the engine room of the bid team.

You will support our Bid Managers and the Head of Bids and Tenders to create compelling proposals and tender responses.

Owning key administrative processes and responding to varied requirements day to day you will enable the end-to-end bid process, contribute to content and work with a wide range of stakeholders

This is a stimulating and varied opportunity working with stakeholders from across the business. Our Bids and Tenders team work on a dynamic pipeline of opportunities across health, wellbeing and clinical services.

The Bid Assistant/Coordinator role is an ideal opportunity for an individual looking for a step into bids and/or commercial management.

Would also suite an accomplished Administrator or someone looking to build on existing bids experience.

As a key part of the Bids and Tender team you will directly contribute to the creation of compelling proposals and tender responses: helping to secure new business and provide organisational and administrative support across multiple projects:

Assist in running the bid process including organising meetings, taking minutes, producing action and follow-up notes, coordinating relevant activities and document management.

Ownership of responses to pre-qualification questionnaires and population of standard responses.
Support completion of bid documents, liaise with the appropriate stakeholders to ensure accurate responses and escalate where appropriate.

Maintaining bid databases and salesforce records, you will provide a central administrative point of contact, owning performance data and pipeline integrity.

Produce documents/information/presentation materials - transcribing, formatting, editing, data analysis, graphics etc. for the team.
Manage shared mailboxes and access to procurement portals.
Managing "library" content

This Hybrid role can be predominantly home-based but there is an expectation to work occasionally from our London and Epsom Offices, flexibility will be required to travel to meetings when necessary.

To succeed as a Bid Assistant at Nuffield Health you will need:
Administration skills acquired through training and/or relevant experience
Excellent interpersonal skills and confidence in stakeholder engagement and coordination.
Highly effective planning, time management and prioritisation skills.
Excellent written and verbal communication skills.
A self-motivated approach and able to work with minimum supervision, prioritising workload and balancing demands to meet deadlines.
Strong forensic analytical skills with a very good eye for detail.
Excellent IT Skills - Microsoft Office software (Word, Excel, PowerPoint etc.), Adobe PDF documents, and Salesforce.

Ultimately, you will either bring or develop a detailed understanding of the sales life cycle and proposal process.

You will contribute to our purpose to build a healthier nation by providing administrative assistance and support to the Bid team, ensuring all bids and proposals are managed and delivered in full, on time and in line with the overall sales Plan and Nuffield Health business strategy.
