About The Role


Working within Ecotricity's People & Places Department, the role of Places Coordinator is a varied one but with the common theme of delivering an excellent level of service and support to internal & external customers and third parties for all our sites in the Stroud area, including our offices, our production site at Q Park and Forest Green Rovers football club.

We are looking for a Places Coordinator to help us maintain a secure and well-functioning work environment.

As part of a busy & friendly team, the Places Coordinator will be responsible for a variety of activities to support the high-quality delivery of services in several areas, including estates & facilities, health & safety, and general support, e.g.

on Estate-related projects.

In addition, the post-holder will have some responsibility for supporting the Lion House Receptionist/Admin Assistants, as well as working with third party contractors, Suppliers and service providers.


Department


The Places Team provides a key frontline service for all management and employees, and liaises with external companies, contractors and agencies to ensure a safe and effective working environment.

The team approach is fast paced, friendly but professional, with a focus on a safe and effective working environment.


Core Responsibilities

Facilities & Maintenance

  • Providing a first line contact for the Places Team for all internal and external customers/contractors, including our inhouse cleaning team
  • Helping to resolve Places queries and issues for all sites on the Jira Service Desk.
  • Checking all devices within the organisation as needed, e.g. alarms or security cameras. Arranging for systems, such as heating and air conditioning, to be looked after and operated appropriately
  • Fixing minor issues around the sites(s) in appliances or arranging for repairs when needed
  • Weekly walk around of our Stroud site to check for any Snags, issues and ensure H&S systems and equipment is in safe working order.
  • Helping with employee relocations across all buildings when required
  • To check and maintain Bibo Water Machines
  • Completing cycled servicing when required for all units
  • Used on site at Lion and Q-Park.
  • Liaising with external companies regarding maintenance, recycling services and other support services
  • Managing the Weekly Maintenance Schedule for the contracted Maintenance Support on site Thursdays & Fridays
  • Or when the support is required.
  • Helping to maintain accurate and timely records for all relevant sites, ensuring that preplanned maintenance activities are carried out effectively and on time across all sites
  • Including Q-Park & FGR
  • Administer access issues with Net
  • Monitoring stationery and office supply procurement across the Stroudbased sites, helping to ensure that we remain efficient, economical, and ethical.
  • Ensuring that the ordering and monitoring of refreshments, lunches etc is efficient, economical, and ethical.
  • Monitoring and organising documentation or actions required for ESOS, ISO14001 etc. to help ensure compliance.
  • Out of Hours oncall support to the business managed on a rota basis.
  • Providing holiday and relief cover of Lion House Reception

Health & Safety

  • Holding or committing to IOSH 4 day Managing Risk in the Workplace (Institution of Occupational Safety & Health) certification (or equivalent)
  • Carrying out Risk Assessments as within our Planned Maintenance Calendar and on request from the Places Manager
  • Carrying out DSE monitoring of all Group Employees as required
  • Managing the distribution of standing desks and other DSE equipment around the Group
  • Mange the H&S Training matrix, ensuring all areas have the correct compliant level of H&S Training around the business
  • First Aid, Fire Marshal, Manual Handling, DSE, COSHH etc
  • Testing fire alarms, emergency lighting and carrying out fire risk assessments and weekly checks.
  • Supporting fire drills and other H&S simulations as necessary
  • Other H&S duties as may be required.

Administration

  • Ensuring that all Places Team documentation is up to date and compliant with internal and external standards
  • Included All Policies and Processes.
  • Finessing processes within the Places function to enable service improvements, whilst ensuring that we remain compliant with legislation.
  • Providing updates of all H&S Policy changes
  • Providing updates on Places Team SharePoint pages to ensure all information is up to date and relevant
  • Raising and processing purchase orders via Work Day as and when required
  • Assist with the operation and maintenance of an effective filing system for the department.
  • Operating the Places Team Jira System and responding efficiently to requests, escalating any issues as appropriate.
