£21,000 - £24,000 p.a

We have an exciting opportunity for an Administrator to join our team based in Yeovil. The Billable Works Administrator will be responsible for providing comprehensive administrative support to the site Management Team. Taking direction from the Regional Manager in supporting the site management teams


Key Accountabilities:


  • Booking appointments, hot desk, gate access and the meeting room
  • Scanning and printing, as appropriate, to support SDA outputs
  • The answering of any queries (digital/telecom) promptly and politely
  • Preparation and maintenance of reports as directed by management
  • Preparation of meeting minutes, action logs and agendas as required by management.
  • Keeping all H&S warning notices in an index file and send out to each office when received, ownership of all required Noticeboards (H&S etc) ensuring they are kept up to date
  • General administrative support to the SDA.
  • Carry out the duties of the Security Officer for the SDA, ensuring the base security officer's requirements are met. Book people in at the gate and meet and greet as applicable.
  • Visit the post room on site to collect the mail and post the mail daily. Ensure all post is out of the office within 24hours.
  • Complete the monthly Health and Safety (H&S) return to the Head of HSEQ by the required date
  • Production and updating of the H&S induction packs as necessary
  • Management of SDA filing systems to support VIVO Quality Management Systems, both electronic and hard copy
  • Order and control stationery, office supplies, consultants and personal protective equipment
  • Provide administrative support to other departments and areas as and when required
  • Promote a culture of customer service and the meeting of company objectives and values.
  • Plan, organise and coordinate internal/external meetings, events, accommodation as requested.
  • Comply with all Health and Safety and Sustainability policies and procedures
  • Cover for other Administration roles across the SDA as required by management.

What you'll need to do the role:

  • Demonstrate an understanding of administrative processes and main focus to deliver results.
  • Ability to work on own initiative
  • Experience of working in a collaborative environment.
  • Good IT skills (e.g. Excel, Word etc.)
  • Enthusiastic and willing to learn.


It is desirable that you hold NVQ level 2 qualification in Administration, a related discipline or equivalent experience, however this is not essential.

You should have developed IT skills (eg Excel, Word, etc) and be willing to undertake any necessary training to meet the requirements of the role.

Please note, in order to be considered for this position, you must be able to pass BPSS security clearance.
