Full time or Part time receptionist required for a very busy dental practice
We are seeking a confident and well-presented receptionist to cover every Monday from PM, Monday through Friday. Some flexibility to cover holidays would be an advantage.
Job Role:
To proactively manage the non-clinical relationship with potential and existing clients, providing first class customer service
Manage all enquiries from potential new clients, providing information on the services offered by the practice, according to practice brand standards.
Ensure fast follow-up to all enquiries, with the aim of booking an appointment and achieving new clients for the practice.
Effectively manage the appointment book for all dentists/hygienists/therapists/specialists, ensuring that the daily production targets can be met and the booking system is followed.
Including:
Follow-up contacts and recall contacts
Reactivation of treatment plans
Collect referrals and testimonials
Oversee general mailings, proactively follow-up and monitor the responses
Provide information on the practice membership plan (where appropriate) and proactively sign-up/convert members
Involvement in practice open evenings, events and other marketing campaigns
Manage the reception and client lounge
To include:
Meeting and greeting all clients, providing a customer-focused and seamless patient journey according to the practice's brand standards
Welcoming new clients to the practice and introducing them to the practice philosophy
Answer all phone enquiries according to the practice's brand standards
Managing the patient journey post-treatment in order to build long
- term relationships with clients.
Provide and explain payment options where appropriate, take payment and book the next meeting.
Manage the referral and testimonial systems
Ensure the "front of house" is maintained to a high standard and complete daily housekeeping tasks, according to the practice's brand standards.

Required experience:
- Customer Relations/Reception: 2 years + ideally at a dental practice
- Ability to use the computers and troubleshoot simple computing tasks and work on a database program (R4), Microsoft Word, Excel
- Have good numerical skills to perform simple accounting business dealing with patient finances and the ability to explain things clearly
- Ability to handle patient feedback and complaint
- Proficiency in telephone skills
- Be aware of clinical rules and have DBS clearance and be fully vaccinated to work in a healthcare environment
- Ability to handle a busy workload and multitask
- Have the skills & maturity to deal with challenging clients and be empathetic
- Be able to work on their own and be confident in speaking with customers
- Punctuality is a very important part of the role
- Driving License important
