As a Service Administrator you will be managing and monitoring incoming referrals, the creation of monthly, quarterly and annual service reports, and occasional ad-hoc reports when needed using data from our in-house database as well as other sources.

This part of the role involves the accurate and efficient collection of data from and compiling into detailed reports.


In addition the administrator will support the service manager in organising the induction of staff, providing up to date and accurate information to external partners, writing minutes of meetings attended.

The Access Team is a new countywide recovery and peer support service across Wiltshire. It is run in partnership with local provider Alabaré.

Together, we're making sure we're walking alongside people who need support every step of the way, making sure they are ok, making sure they're accessing relevant support and then thinking about their next steps.

This delivers against the NHS's vision for mental health care and support through more local, community mental health services and how community services should offer whole-person, whole-population health approaches.


What do I achieve?

  • I use communication skills of engagement, negotiation, motivation and explanation will be required to enable the management of potential barriers to communication
  • I record details of all contacts with service users and other professionals immediately following each contact.
  • I ensure that I follow up actions from contacts are progressed efficiently and effectively.
  • I complete administration tasks on RIS, including scanning onto service user records, updating service user information.
  • I coordinate induction of new staff
  • I support administrative elements related to safeguarding in line with agreed standard operating procedures

I have the essentials covered:


  • Experience managing data sets and relational databases
  • Experience creating reports from raw data
  • Experience of handling calls which need to be dealt with empathetically and sensitively
  • Experience of working collaboratively with external stakeholders to improve collaborative working efforts
  • Organisational skills with the ability to manage and prioritise workload and meet deadlines
  • Knowledge of risk assessments and ability to identify potential risks and how to best manage the risks.
  • Knowledge and understanding of the needs and barriers faced by people who experience mental ill health.
  • Knowledge and understanding of the principles of confidentiality and duty of candour
  • Excellent organisational and time management skills
  • Outstanding customer service skills
  • Excellent attention to detail
  • A good working knowledge of Microsoft packages including Word, Excel and Outlook
  • IT/computer qualification is desirable e.g ECDL, RSA 111, CLAIT or equivalent experimental learning
  • Excellent interpersonal skills, confident communicator, both verbally and in writing
  • Able to work confidently alone and effectively as part of a team
  • Experience of creation of data collection spreadsheets, data analysis, and pulling off data reports
