JOB DESCRIPTION

PAYROLL & HR OFFICER

Between 2 to 5 full days a week

The full cycle of the monthly and yearly payroll and


pensions

MAIN DUTIES

  • Ensuring all relevant payroll, payroll forms and pension information, is entered accurately on the Cintra Payroll system by the designated date each month and memos are kept up to date.
  • Processing of all staff remuneration and staff claim forms to include checking authorisation, and calculations, entering rates of pay, and information on the
Cintra Payroll system.

  • Preparing and processing all new starter information and leavers on the Cintra payroll system.
  • Entering all changes and deductions of staff pay, employment status, maternity, paternity, pension information and other amendments as required on the Cintra
Payroll system by the designated date each month.

  • Checking all payroll changes and checking changes are correct prior to the payment run with the HR Manager and Director of HR as required.
  • Create files and reports to reconcile with the payment summary as part of the RTI procedure by the deadline.
  • Ensure the payslips are published and distributed to staff once this process is complete.
  • Preparing cheque requests on a monthly basis for the relevant payments for authorisation and by the deadline each month.
  • Preparing monthly payroll reports, including journals and the FTE for Finance.
  • Ensuring that the payroll filing system is kept up to date on a weekly and monthly basis.
  • Carry out the Monthly Data Collection for Teachers pensions.
  • Complete LGPS pension starter forms for new staff and leaver forms.
  • Completion of the Pension schemes annual returns ensuring all information is accurately recorded.
  • Responding quickly and accurately to forms or requests from job seekers or tax office.
  • Dealing with staff payroll and pension queries and liaising with Cintra, HMRC,
Local Government Pension Scheme and Teachers Pensions as required.

  • Ensure salary and staff surveys are completed by the deadline for Sixth Form
Colleges, AoC, Inland Revenue or the Office for National Statistics as required.

  • Participate fully in appropriate professional development and external meetings, including networking and training with Cintra and other Colleges.

GENERAL HR DUTIES

  • To provide high quality support for the HR department including a complete, accurate, efficient and timely secretarial and administrative service in the HR department, including taking minutes of meetings.
  • Assist in the monitoring of key processes associated with HR including probation periods, fixed term contracts, references, DBS' and other key data, maintaining the single central record and other safeguarding documents as directed.
  • Support the recruitment process as required.
  • Accountable for the efficient and effective filing of HR and payroll documents.
  • Making regular audits and archiving of the HR files, performing filing on a weekly basis ensuring paperwork is kept up to date and is organised.
  • Recording the daily absence of staff including updating the HR system. Informing managers and reception as required of absentees before the start of teaching each morning.
  • Maintaining the bookings of holiday and TOIL, appropriate authorisation has been followed and producing reports in a timely manner.
  • Assist in the organisation of gifts and cards for leavers
  • Support the preparation, organisation and delivery of end of term events.

GENERAL

  • Follow college policy in the management of Health and Safety in all aspects of work, including a proactive approach to Risk Assessments for all duties.
  • Undertake regular appraisal and professional development to ensure proper delivery of these responsibilities.
  • Follow good practice and college policy in all aspects of the work and in the management of resources.
  • Undertake any reasonable task at the request of the Principal or designated
Deputy.


The job holder may be asked to undertake any other reasonable tasks which are requested by the Principal or designated Deputy.
