Job Purpose

Based within the Glasgow Dental Hospital and School on Sauchiehall Street, you will be an integral part of our administrative team providing a range of administrative and support services for the NHS Liaison Manager and Outreach Clinical Teaching Lead.

Our final year dental students work in a community outreach centre to gain valuable clinical experience and you will play a key role in ensuring its smooth operation from assisting with timetabling, organisation of meetings and training dates, and reimbursement of student expenses.

You will also provide general support and reception duties for the Dental School Administration Centre.

You will have excellent administrative skills with the ability to proactively organise and prioritise your workload to adapt to changing demands.

We are looking for someone with good communication skills who is familiar with working with a range of people internally and externally as you will interact with a number of stakeholders.


Main Duties and Responsibilities

  • To support the allocation and timetabling of Clinical Adult Outreach placements across Scotland, identifying timetabling issues and working to resolve these independently.
  • To act as primary contact for Adult Outreach Centres, maintaining contact lists, providing timetabling and attendance information, organising training days and meetings.
  • To make use of bespoke software and databases to generate and monitor student activity reports.
  • To manage student travel & subsistence activities in relation to Outreach placements, including the booking of travel and accommodation as well as the weekly processing of student travel claims and liaison with University Finance and the handling of any associated queries from finance or students
  • To act as primary contact for EvaSys survey generation and reporting in the Dental School ensuring compliance with the University policy on Student Feedback.
  • To collate and report on patient feedback survey data in Adult Outreach.
  • To manage the allocation of student lockers at the start of each academic session.
  • To provide general reception support in the Dental School Administration Centre, answering telephone calls and in person queries.
  • To clerk and service a variety of committees including the Adult Outreach Committee and Information Services Committee, University/NHS Liaison Committee and Health & Safety Committee.

Knowledge/Qualifications

Essential:


A1 Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role.


Desirable:

B1 SVQ 3 / HNC in Administration or Business Management
B2 ECDL

Essential:


E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

E2 Experience of direct contact with the public in an administrative role


Terms and Conditions

Salary:
Grade 4, £22,197 - £24,715 per annum
This post is full time (35 hours per week) and open ended.
