JOB TITLE:
Receptionist


REPORTS TO:
Reception Team Lead and Practice Manager


BASE:
Toddington Medical Centre, Luton Road, Toddington, LU5 6DE

Job Summary:


To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.


To provide general assistance to the Practice team to aid the smooth and efficient running of the Practice and project a positive and friendly image to patients and other visitors, either in person or via the telephone.


Job Responsibilities:

Reception:

  • Receive patients and visitors who are consulting with members of the Practice team.
  • Registration of new patients (have knowledge of Practice area).
  • Hand completed repeat prescriptions to patients, checking names and addresses.
  • Process appointment requests for today and for future appointments from patients by telephone and in person.
  • Receive and record requests for home visits.
  • Take messages and pass on information.
  • Initiate contact with and respond to requests from patients, other team members and associated healthcare agencies and providers.
  • Be able to cover all reception positions as necessary, with the flexibility to cover staff absences during sickness and holiday leave as required.

Telephone:

  • Have a working knowledge of the telephone system.

Administration:

  • Have a thorough knowledge of all Practice procedures.
  • Work in accordance with written protocols.
  • Retrieve, file, update and maintain paper medical records.
  • Deal with incoming and outgoing mail.
  • Fax, photocopy and scan documents.
  • Order and maintain stationary supplies
  • Receive and check deliveries

Computer:

  • Data entry and update of medical records e.g. patient registration change of address.
  • Set up patients with on line access.
  • Process repeat prescription requests in accordance with Practice guidelines.

Other Tasks:

  • Ensure building security by having a thorough knowledge of doors, windows and alarm system and follow the Practice's procedure for opening and closing the surgery.
  • Ensure the reception area and other administrative areas are kept clean and tidy.
  • Assist in the occasional cleanup of bodily fluids.
  • Any other reasonable tasks allocated by the Doctors or Practice Manager or senior receptionist.

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
  • In the performance of the duties outlined in this Job Description, the postholder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

Health & Safety:
Assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice's Health & Safety Policy, to include:

  • Use personal security systems within the workplace according to Practice guidelines.
  • Identify the risks involved in work activities and undertaking such activities in a way that manages those risks.
  • Make effective use of training to update knowledge and skills.
  • Use appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
  • Report potential risks identified.
