We offer a tailored, fast and frequent logistics service with countrywide coverage.

Our Teynham site are now recruiting for a Transport Administrator on a full time, permanent basis.


Salary:
£26,000 per annum

Working hours: 4 days out of 7, 07:00-19:00


Job Description:

The purpose of a Transport Administrator is to provide a professional and pro-active service regarding Fleet administration requirements. Ensuring accurate records are maintained, and reports provided, in line with all legal, compliance and Company procedures. Deal with all issues & requests in relation to Fleet administration in a timely and efficient manner.

Key Duties of a Transport Administrator:

  • Support the management team with unit & trailer service schedules and liaise with local service providers and Operations to arrange mutually suitable service dates in-line with legal requirements and ensuring that all necessary compliance requirements are adhered to.
  • Complete daily administration of any breakdowns and liaise with the relevant rental companies / owners regarding estimated and actual return times for breakdowns and monitor all related turnaround times
  • Ensure adherence to all Fowler Welch compliance procedures regarding Fleet filing administration, ensuring that all vehicle and trailer files are kept up to date and all service sheets chased from offsite service providers within agreed timeframes.
  • Complete daily all defects reported ensuring these are fully documented and completed and were necessary ensuring vehicles are set to VOR at the sites and released only when the jobs have been signed off by the relevant repairer.
  • Daily administration of the trailer tracking system, identify trackers which are not working and liaise with all sites to ensure rectification work is carried out.
  • Produce vehicle and trailer damage reports and summarise, identify trends and report to Fleet Manager / Operations
  • Undertake general filing / administration duties as and when required
  • Complete the administration of mileage downloads from Tachomaster to Transform
  • Provide analysis form Tachomaster and produce infringement working time and vehicle reports as required by the management team
  • Collate vehicle daily check sheets and filing in accordance with company procedure
  • Monitor measure and process where required WTD, AWD and driver timesheet documentation

Qualifications:


  • Previous experience of busy office environment
  • Previous experience of working in an administrative capacity
  • Previous experience in effectively communicating internally and externally
  • Ability to work unsupervised
  • Previous experience of working in a transport / distribution / logistics environment
  • Previous experience using Tachomaster or equivalent system
  • Knowledge of EU regulations and Working Time Directive or willingness to learn
  • Strong knowledge of MS Office including Excel and Word (training will be provided for in house software)
  • Able to work to challenging deadlines in a pressurised environment
  • Organisational skills
  • Adaptable and flexible in approach to work
  • Good interpersonal Skills
  • Good written and verbal communication skills
  • Proficiency in Word and Excel
  • Results focused
  • Working as part of a team
  • Ability to work with a range of individuals
