Job Summary:

The Coordinator of Academic Affairs will provide support to the Provost concerning her office systems, interaction with other academic support teams, and curricular, instructional, and student learning structures.

Assist with operationalizing faculty and student policies, e.g., following up on student absences, scheduling Provost's classroom visits and faculty observations, faculty overload calculations and compilation, students' classroom identification systems, etc.

Duties & Responsibilities:


Ashesi Experiential Transcript:
The Coordinator will liaise with stakeholders including the Provost, AET system developers, Academic Affairs department members (including staff, RIs, etc.)
, students among others to:


  • Manage scheduling and conduct orientations, infosessions, Ask-MeHow's, and other speaking engagements / workshops to increase student awareness of the AET and guide students to submit their data.
  • Update existing manuals, fliers and other PR material or guides that provide information on the AET.
  • Serve as the key respondent and manager of the Ashesi Apps platform for the

AET:

The coordinator will report any platform bugs and manage the approval process, verifications, and referee feedback for all AET requests.


  • Serve as the key point person for all AET queries by students, faculty and staff on campus, with frequent updates and escalations to the Provost as needed.

Academic Break:


  • Coordinate with the Provost, vendors and other stakeholders to execute Academic Break activities.
  • Scheduling and coordinating all Academic Break needs with support from the Provost's Executive Assistant.
  • Coordinate all research activities associated with the Academic Break, with leadership from the Provost and support from the Research Studio

Support Other Operational activities:


  • Manage the Academic Affairs calendar and prompt the Provost (and other Academic Affairs team members) about upcoming activities and other calendarrelated updates, during and out of team sync meetings.
  • Manage the Academic Affairs cloud folder and work with staff in the department to ensure currency of material and ease of use.
  • Liaise with the Provost and Research Studio to grow the Centre for Teaching and Learning by updating the repository with content and material for faculty, sharing relevant platform usage updates with the Provost, support in coordinating arrangements for additional workshop content for the repository, etc.
  • Liaise with Heads of Departments, Department Coordinators on the submission of semester faculty and faculty intern personnel plans, consolidating department hiring needs, teaching overloads, and other key information and actions required.
  • Support with the scheduling and coordination needed to successfully execute the annual
  • Faculty and Faculty Intern Retreat, Annual Faculty Professional Development, New
  • Faculty Orientation and some Graduation related activities including the Special Capstone Awards for students, faculty robing support, etc.
  • Work with the Provost, Research Studio and other academic Heads of Department to coordinate activities of the Research & Intellectual community.
  • Support with the department student mentorship program (including Francophone student support activities) where needed.

Qualifications & Skills

  • Bachelor's degree required. Master's strongly preferred.
  • At least 3 years' experience in educational administration, preferably with some experience supporting the executive level.
  • Excellent organizational and problemsolving skills.
  • Excellent verbal, written and interpersonal communication skills, including the ability to elicit and communicate information and to prepare clear, informative and concise materials.
  • Initiative and judgement to independently problemsolve and prioritize work.
  • Strong customer service disposition and demonstrated ability to deescalate situations and respond attentively to resolve issues.
  • Ability to work independently, but also as a strong team member when the situation warrants.
  • Ability to analyze, synthesize and summarize information.
  • Ability to work in deadlineoriented environment and manage multiple projects simultaneously while adhering to prescribed deadlines.
  • Advanced proficiency in using the Microsoft Office Software suite (i.e. MS Word, SharePoint, Excel, PowerPoint and Outlook).
