Responsibilities:


Supporting the bid process, in accordance with Atkins' bidding best practice and bid process, and in compliance with the Atkins Service Delivery Process.

Atkins' Bid Coordinators are involved in many parts of the business and take on varied roles including bid coordination, business development and general administration duties.


Specific Responsibilities:


Team Contribution:

Working under the direction of the Bid Director/Bid Manager, the Bid Coordinator is responsible for:

  • Supporting capture planning workshops and distributing actions/updates.
  • Creating and managing project collaboration sites in Teams, including allocating access, adding and filing documentation and supporting/providing guidance to the bid team.
  • Arranging and attending capture plan workshops, providing support to the Bid Manager and team, creating workshop material and taking notes to distribute postworkshop.
  • Leading production of standard prequalification questions.
  • Supporting development of the bid programme/plan, maintaining the bid schedule and team calendar.
  • Portal management including portal registration, downloading and uploading of bid related documents and final submission.
  • Leading graphics coordination, producing answer plan templates, organising and updating CV's, leading production of case studies and final formatting, proof reading and compliance checks.
  • Supporting bid closure activities including Lessons Learnt workshops, adding bid documentation to the Knowledge Management system and ongoing portal monitoring.
  • Administering and organising preparation events and presentation material for posttender. presentations and negotiation sessions.
  • General assistance to other bid and support personnel.

Requirements:


  • Excellent communication and organisational skills whilst working under pressure and to tight deadlines.
  • Ability to multitask and work in a fastpaced environment.
  • Excellent computer skills in Word, Excel, and PowerPoint. Knowledge of Visio, Mural or other software being an asset.
  • Good writing skills ability to gather information and present it in a cohesive manner.
  • Willingness to learn and take on more responsibility over time.
  • Experience in an administrative/ project coordinator role, preferably in an engineering firm.
  • Ability to work both individually and within a team environment.
  • Flexibility on working hours and location when required.
