An exciting opportunity has arisen to join our Key Accounts team, just off the M4, J18 near Dyrham.

We are looking for a pro-active, flexible team player to help maintain efficient operations within the team, where you will work as part of a team sending our lovely British cheeses and fine foods to Europe and countries around the world.

Key responsibilities:


  • Ensure the highest level of customer service to Key customers of the business.
  • Answer inbound telephone calls for Key Account customers.
  • Set up new accounts forwarded by the Key Account Manager on Tropos and Gold Vision.
  • Inform customers of out of stocks and manage back orders of items unavailable by using our in house report system.
  • Liaise with Key Account Manager to ensure that customers' orders are fulfilled in line with their expectations.
  • Allocate stock on our system, to ensure large high value orders are secured in our warehouse.
  • Process pre orders alongside purchasing team (gold vision broadcast).
  • Work with the buying team to determine stock levels and arrival of stock to fulfil back orders and manage customer expectations.
  • Respond to customer enquiries relating to damaged goods in a timely manner, working with the Key Account Manager to find a solution.
  • Take payment details over the phone from customers and process in Global Payment system.
  • Coordinate large orders being despatched from our bakery direct to customer, and manually pick & invoice these orders on Tropos.
  • When required arrange transport for large palletised chilled orders.
  • Communicate with Warehouse manager to establish when deliveries are due to arrive and when stock is available to despatch.
  • Arrange collections from customer via DPD courier, and complete the necessary paperwork for returning product to warehouse.
  • Set up Price list specific to some customers in our Tropos system, and manage to reflect the Key Account Managers master sheet.
  • Check the exceptions alerts on DPD, providing continuous customer updates.
  • Coordinate deliveries to customer warehouses, ensuring booking slots are secured when necessary and communicate with our own warehouse team for a smooth process.
  • Create paperwork such as case labels, pallet labels and packing lists for some customers.
  • Arrange sample packages to be despatched to customers and prospects, and update Gold Vision to broadcast to Key Account Manager.
  • Provide customers with copy invoices and statement of account (on request and when required)
  • Investigate credit and invoice requests sent by the customer.
  • Raise relevant credit notes which have been authorised by the Key Account Manager.
  • When required, assist the finance team with invoice & credit enquires, and debt chasing.
  • Assist the Technical team with administrative duties as required by the Key Account Manager.
  • Update the complaint log.
  • Other duties as required to fulfil customers' expectations and assist the Key Account Manager which are reasonable and in line with the role.

Pre requisite skill set:


  • Previous experience in sales account administration
  • Excellent communication and organisational skills
  • Computer literate (Excel / Word / Outlook / database systems
  • Interest in the food industry

This is a 12 x months maternity cover, with potential to turn permanent.

Job Types:

Salary:
£22,000.00-£25,000.00 per year
