About the role:

The Operations Coordinator role is central to the day-to-day operations of the business.

Within this role, you will work closely with the rest of the Operations team to provide support to staff across all departments and clinic sites.

You will handle the day-to-day running of several key systems, respond to staff queries and aid with the implementation of best practice.

You will also provide training for staff on these key systems and roll out new technologies and processes.

Being part of the Operations team will provide you with the opportunity to become involved in other ad hoc projects and activities, including working with marketing and patient facing teams to act on feedback and implementing improvements to the patient pathway.


Job Specification:


  • Be a key contact for staff, responding to day-to-day system queries regarding clinical systems and patient facing software.
  • Providing training for staff on systems and best practice to all departments.
  • Gain full knowledge of the clinic EMR, consent form and app systems, to provide full administrative support and suggestions for continual improvement and optimisation.
  • Produce training materials, including guides and video content to support staff and patients.
  • Perform administrative tasks to maintain and improve our existing systems and processes.
  • Support the Operations team with implementing new processes and systems.
  • Work with the Operations team to continually brainstorm and review the patient experience and staff workflows.
  • Work closely with other departments to ensure optimised staff workflows.
  • Assist with other ad hoc operational projects.
  • Monitoring the Operations inbox.

  • Able to quickly form relationships with colleagues.
  • Confident in communicating ideas, processes and solutions clearly.
  • Able to communicate varying methods to best suit the individual or the issue.
  • Able to quickly grasp new concepts, systems and processes.
  • Keen to learn new systems, processes and aspects of the business.
  • Efficient time management skills and the ability to easily juggle multiple competing priorities.

Knowledge/Skills/Experience:


  • Previous experience working with a client or patient database (preferred)
  • Previous experience working in an administrative, support or training position.

Qualifications:


  • Bachelors Degree (preferable)
  • Keen interest in fertility sector/healthcare
