Coinford is a groundworks and concrete frame specialist that delivers contracts ranging from £1million to £50million throughout London and the South East of England.

This role works out of our Head office, Redeham Hall


Role Purpose/Objective:

Administrative support to the Pre-Construction department and executive assistance for the Pre-Construction Director. This role requires someone with solid administrative experience, who is highly organised and has strong attention to detail.


Key Responsibilities:


  • To provide Executive Assistant support to the Pre-Construction Director
  • Downloading all incoming tender documentation and creating a document register for all documents received including document references and revisions in line with tender filing systems
  • Setting up all incoming tenders on Microsoft Lists (live database)
  • Updated / new tender information and addendums downloading and updating document register
  • Booking meetings for the Estimating department as required
  • Notes & minute taking as needed for adhoc meetings
  • Printing/Distributing drawings and documents as required by the team (internal & external)
  • To be the expert user of the A0 printer and ensure it is kept stocked up with paper, inks and other consumables.
  • Daily maintenance of tender/opportunity display boards
  • Setting up of new jobs on Sharepoint (inc eVision)
  • Maintenance of company procedures register, highlighting renewals to document owners and uploading new revisions following updates
  • Compilation & submission of Prequalification Questionnaires (PQQs) submissions
  • Compilation & submission of documentation to support company accreditations
May also be asked to provide Reception cover and general administration help to surveying such as binding, copying, archiving & scanning

Experience/skills required:

Experience supporting Director level personnel

Experience of the Construction industry would be an advantage, but not essential

Computer literate (MS office, Teams etc.)

Excellent organisational skills

Good written and verbal communication skills

Accuracy and Attention to detail

Calm, measured and professional manner

Ability to multi-task, balancing a number of tasks at the same time dependent on their priority

A flexible and adaptable approach to work


Qualifications:

Must have GSCE Maths and English or equivalent qualification

Business Administration qualification is desirable but not essential
