Up to 31,200.00, depending on experience

The opportunity


An exciting opportunity to lead a team of internal medical secretaries and deliver high quality management and administration support for exceptional customer service to patients and consultants.


As our Medical Secretary Team Leader you will:

  • Lead the medical secretaries and support the team to work efficiently
  • Build strong relationships with internal and external stakeholders
  • Help to grow consultants' business
  • Ensure all Minimum Data Set is in place as required for CQC and NHS
  • Lead on Data Quality Management within the team
  • Support the continual review of processes to align to Nuffield's standard operating procedures and processes
The person


To succeed as a Medical Secretary Team Leader, you will need:

  • Experience in a similar role (experience with PiMS, DGL preferred)
  • Proficiency in Microsoft Office and comfortable working with numbers
  • A keen eye for detail
  • Strong management and secretarial skills
  • Great Communication abilities
You will lead the team and support the medical secretaries and consultants to work efficiently.

Tasks include but not restrict to:
Organise weekly huddles with team

Support BAM in organising the monthly meeting with all med secs and ensure all actions are followed and completed

Support new medical secretaries with their induction

Ensure appropriate cover is in place when a med sec is on annual leave or sick

Ensure billing hours are correctly reflected in weekly and end of month billing sheets for all med secs including their covers

Advise team of med secs movements on a weekly basis

Advise BAM, SSM and HD of med secs billing hours on a weekly basis. Clearly reflect contracted hours, billed to consultants hours, billed to Nuffield hours, sickness, overtime and annual leave

Ensure med secs are 100% compliant with their e-learning and practical training

Ensure correct hours and leave time are reflected on Workday to ensure accurate payroll

Supervise med secs and ensure excellent customer and colleague service including managing and appraising

Complete PDRs with med secs as required annually

Complete Return to Work and other HR documents (i.e. risk assessments) as required

Provide technical support to the team as needed (i.e. renew of dictation licences)

Escalate/raise with BAM any anomalies or concerns
